Job Overview
We are seeking a highly organized and motivated Administrative Assistant, but focus on accounting skills to join our dynamic team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing accounting for the office as well as maintaining precise records for clients as well as administrative tasks efficiently. This role requires strong accounting, computer literacy, excellent time management skills, attention to details and the ability to multitask in a legal office environment. Must maintain confidentiality at all times.
Responsibilities
- Greet and assist clients and visitors in a professional manner.
- Manage incoming calls and emails, directing inquiries to the appropriate personnel.
- Maintain an organized front desk area, ensuring a welcoming environment.
- Schedule appointments and manage calendars for team members.
- Perform data entry and maintain accurate records using QuickBooks and Quicken.
- Entering new clients into billing system and prepare monthly billing.
- Assist with various administrative tasks as needed, including filing, typing, and correspondence.
- Assist with contacting probate courts, clerk of courts and recorder's offices in various counties in Ohio.
- Responsible to pay all invoices for the office.
- Post all payments received.
- Process month end reports and submit to Bowling Green office.
- Maintain files, payments, deposits and monthly board reports and reconcile accounts for government agency client(s).
- Maintain impeccilbe records for the annual state audit of government agency client(s).
- Ordering supplies for office and arrange neccessary maintenance on building and equipment.
- Absolute confidentiality of clients and case information.
Qualifications
- Proven experience in accounting and administrative role with minimum of Associates Degree in these areas or 3 - 5 years experience.
- Strong computer literacy with proficiency in Word, Excel, Outlook, Quicken and QuickBooks as well as Drop Box.
- Excellent typing skills with attention to detail and proofreading tasks.
- Exceptional time management abilities to prioritize tasks effectively and meet deadlines.
- Follow up with courts, clients etc. for documentation submitted or needed.
- Strong interpersonal skills with the ability to work collaboratively within a team.
- A proactive attitude towards problem-solving and client service.
There is a 90 day probationary period once hired to determine permanent employment as well as benefits.
Qualifications
- Accounting experience 3 - 5 years or Associates Degree
- Administrative experience 3 - 5 years in a legal environment

Pay: $18.00 - $22.00 per hour
