Purpose :

The Sr. Payroll Specialist plays a crucial role in the accurate and timely processing of payroll for 5,000 team members, including both union and non-union staff across 14 states. This role ensures adherence to federal, state, and local payroll regulations, handles complex payroll inquiries, and collaborates closely with the Payroll Supervisor to enhance payroll efficiency and accuracy. The Payroll Specialist is also responsible for data integrity, payroll compliance, and providing exemplary support for payroll-related queries

Job Responsibilities :

Process Payroll with Accuracy : Prepare, audit, and process weekly payroll for 300 team members, adhering to departmental and organizational policies, as well as wage and hour regulations, union contracts, and applicable federal and state laws.

Support Multi-Cycle Payrolls : Assist the Payroll Supervisor in managing bi-weekly payrolls for both union and non-union team members (5,000 team members), ensuring all submissions are processed accurately and on schedule.

Time and Attendance Verification : Validate team member timecards and timekeeping records for accuracy, including hours worked, overtime, and leave balances, to ensure compliance with company and regulatory standards.

Payroll Calculations and Deductions : Accurately calculate wages, deductions, benefits, and tax withholdings; process adjustments to maintain alignment with company policies and legal standards.

Report Preparation and Reconciliation : Generate detailed payroll reports, including gross-to-net calculations, deductions, garnishments, and reconciliations; ensure all data is verified and aligns with accounting records for proper general ledger posting.

Audit Compliance and Record Maintenance : Maintain comprehensive payroll records and documentation to ensure compliance and readiness for audits; prioritize data integrity and uphold confidentiality in handling sensitive payroll information.

Team Member Support and Inquiries : Address payroll-related questions from team members with professionalism, including benefits deductions, tax withholdings, and leave queries, ensuring timely resolution.

Year-End Processing and Tax Compliance : Assist with year-end payroll tasks, including preparation and distribution of W-2s and other required tax filings; support compliance with FLSA, wage and hour laws, and other payroll regulations.

Systems Support and Implementation : Participate in payroll system updates, upgrades, and implementations; contribute to process improvements to enhance payroll efficiency and accuracy.

Team Collaboration : Provide backup support to other Payroll Specialists as needed, ensuring payroll continuity and coverage during peak periods or absences.

Knowledge and Experience Requirements :

Minimum of 4 years of experience in payroll processing, preferably with multi-state payroll responsibilities.

Comprehensive knowledge of payroll processes, multi-state tax regulations, and labor laws, particularly in a union and multi-location setting.

Strong familiarity with payroll tax filings and compliance with local, state, and federal labor laws.

Skilled in payroll systems (e.g., ADP, UKG, Kronos) with advanced knowledge of Excel (formulas, pivot tables) and Microsoft Office for efficient data management and reporting; experience with UKG (UltiPro) or similar payroll systems is highly desirable.

High level of accuracy and attention to detail in payroll processing, data reconciliation, and reporting, with an ability to identify and resolve discrepancies effectively.

Strong ability to manage multiple payroll tasks simultaneously, prioritize workload, and meet strict deadlines in a fast-paced environment.

Clear, professional communication skills to address team member inquiries, explain payroll policies, and interact effectively with other departments.

Commitment to maintaining confidentiality of payroll and sensitive team member information.
