The Executive Assistant will provide comprehensive administrative support to various departments. This role will involve managing various administrative tasks, coordinating meetings and events, handling correspondence, maintaining records, and ensuring efficient office operations. The ideal candidate is organized, detail-oriented, and possesses strong communication skills.
EXECUTIVE ASSISTANT
Responsibilities
- Assist with day-to-day administrative tasks cross departments.
- Arrange travel for executives and short-term visitors.
- Prepare and edit correspondence, reports, and presentations.
- Maintain and organize physical and electronic files, ensuring all documents are up-to-date and easily accessible.
- Assist with the preparation, review, and execution of legal documents and contracts.
- Coordinate and schedule corporate events and meetings, including all logistics.
- Ensure meeting rooms are prepared and equipped as needed.
- Act as a point of contact for internal and external stakeholders, handling inquiries and correspondence promptly.
- Communicate effectively with team members and other departments to ensure smooth workflow.
- Provide support for special projects and initiatives as required.
- Assist in the preparation and monitoring of departmental budgets.
- Proficient in Microsoft Teams, using chat and collaboration features and managing channels and teams.
Qualifications
- Bachelor’s degree preferred.
- At least 5 years’ experience as an Executive Assistant or in a similar role.
- Proven experience in event planning and coordination.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Detail-oriented with strong problem-solving skills.
