Position Overview
The Project Coordinator is responsible for providing administrative support to the Project Manager and Superintendent. This includes completing paperwork and processes necessary for completion of the project while enabling the Project Manager to spend more time with customers, superintendents, etc. The Project Coordinator is primarily responsible for organizing the project, processing billings, contract administration, and completing closeout.
Key Responsibilities:
1. Project Documentation:
- Initial project set up across software platforms including review of main contract.
- Maintain accurate project documentation and records.
- Ensure all project documents are organized and easily accessible.
- Assist in compiling all necessary project closeout documentation.
2. Project Billings:
- Preparation and processing of project billings.
- Ensure accuracy and timeliness of billing documentation.
- Collaborate with accounting department to meet project billing requirements and timelines.
3. Contract Administration:
- Assist in the administration and processing of project contracts.
- Ensure compliance with contract terms and conditions.
- Process and track owner and subcontract change orders in project management platform.
4. Project Team Support:
- Provide support to Project Managers as it relates to initial project budget creation, compiling change order documentation,
- Provide support to the project team in project tasks and responsibilities including permit and utility tracking, RFI and submittal paperwork and routing support, and processing and distributing project drawings.
- Assist in coordinating project activities and resources including meetings and taking meeting minutes.
Qualifications:
- Bachelor’s degree in Construction Management or equivalent experience.
- 1 years of experience in construction administration.
- Strong leadership, organizational, and decision-making skills.
- Proficiency in construction management software (Procore, Sage300) is preferred
- Ability to support multiple projects while maintaining attention to detail.
- Excellent problem-solving abilities and a results-driven mindset.
