How You'll Contribute to the Team:
The Property Operations Coordinator provides operational support to facility leadership with a focus on supporting a variety of projects varying in complexity, scope, and duration. The Property Operations Coordinator will identify, track, perform or delegate tasks to ensure timely project deliverables. This role requires excellent organizational and communication skills, the ability to work cross functionally, multi-task, think critically and prioritize effectively.
Primary Responsibilities Include:
- Execute a broad variety of tasks to ensure the supported leaders have access to the data needed to maximum efficiency and operation.
- Oversee projects and identify, track, perform or delegate tasks to ensure timely project deliverables.
- Possess a good understanding of internal customers, their responsibilities and needs as they pertain to projects.
- Provide timely project updates to leaders, identifying any challenges that could impact project completion.
- Provide reporting on work orders, including exception reporting, to maintain compliance with established policies as needed.
- Provide administrative support for vendor coordination to include scheduling meetings and maintaining vendor work order directory.
- Reconcile department invoices against purchase orders, ensure appropriate allocation and payment processing, and research and resolve any discrepancies. Work closely with accounting to ensure cost allocations are accurate.
- Monitor and ensure fleet operations are compliant with local and state laws and regulations ensuring vehicles are inspected and registered.
- Ensure data integrity, including regular auditing, validation, and testing of Level One call center software. Input, update, and maintain technician access.
- Maintain directory of HVAC related assets and periodically audit to ensure data integrity.
- Maintain a working file for the JCI project, or other future projects as assigned.
- Maintain full understanding of Service Center Coordinator responsibilities, serving as a backup when needed.
- Maintain an organized and safe tool room.
- Distribute employee uniforms to new hires. Monitor uniform inventory levels to ensure availability when needed.
- Work collaboratively with Corvias colleagues across property operations and support services to obtain information or follow through on requests.
- Coordinate, prepare, and review all ad hoc and regularly scheduled reports; ensure all requisite information is accurate and available within required timeframes.
- Other duties as assigned.
Role Specific Requirements Include:
- 3 years’ experience providing administrative support in a professional environment required.
- Excellent oral and written communication skills with the ability to communicate information and ideas with clarity and precision.
- Flexible attitude with respect to work assignments; proven ability to manage multiple and competing priorities and projects in a dynamic environment while being attentive to details.
- Ability to take personal responsibility for the quality and timeliness of work and achieve results with little oversight.
- Demonstrated ability to work cross-functionally and build relationships at all levels inside and outside the organization.
- Proficiency with Microsoft Office suite.
- A valid driver’s license is required.
- Use of personal vehicle is required.
