About the Role
Our sales operations/production team drives our company to find new customers, retain existing ones, and develop innovative solutions for improving our products and services. As a Sales Operations/Production Coordinator, you will play a crucial role in building relationships, enhancing our brand, and ensuring a seamless customer experience. Through phone and email interactions, you will directly contribute to customer retention, word-of-mouth sales, and overall business growth.

Job Responsibilities (Customer Svc and Production Support)
Customer Engagement
- Convert new sales opportunities through inbound lead follow-ups, calls, and emails.
- Use expert product knowledge to understand customer needs and recommend the best solutions.
- Prepare and send accurate quotes while tracking and managing sales opportunities.
- Upsell and cross-sell to maximize customer value and promote other division services.
- Respond to general inquiries and provide expert recommendations.
Order Management & Coordination
- Process and manage customer orders, ensuring accuracy and efficiency.
- Assist with PO analysis, clarifications, and order verification.
- Schedule jobs and ensure all required details are properly documented.
- Send orders to production, create job folders, print paperwork, and verify embroidery files.
- Research and resolve PO mismatches and other order discrepancies.
- Monitor and follow up on delayed orders when necessary.
Customer Support & Relationship Building
- Communicate with customers via phone and email, providing exceptional service.
- Educate customers on company processes, including order placement and product selection.
- Address customer concerns and collaborate with internal teams to solve issues.
- Conduct outreach regarding blank product availability and damages.
- Assist with quality control by ensuring products meet customer expectations.
Production & Logistics Support
- Coordinate with production teams to ensure smooth workflow and timely order fulfillment.
- Assist with color matching, sample sew-outs, and mock-ups.
- Support shipping and receiving as needed.
Administrative & Internal Collaboration
- Create and manage customer accounts and new buyer profiles.
- Test and report website bugs to improve customer experience.
- Provide feedback for future site development and process improvements.
- Assist in training new staff on company procedures and product offerings.
Requirements and Qualifications
- At least 1 year of experience in customer service, sales, or production coordination
- Experience in apparel decoration preferred.
- Excellent communication and interpersonal skills with a customer-first mindset
- Detail-oriented with excellent organizational, time management, and problem-solving abilities
- Experience with HubSpot or similar CRM, and Asana is a plus
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
