Job Purpose Summary
A reasonable estimate of the current pay range for this role is $20.00 - $25.00/hour. Further, pay that is offered is based on geographic location, internal equity, market data, applicant’s job-related skills, commensurate experience, required licensures, certifications and certain degrees.

Job Purpose Summary
- We are looking for an Order Management Specialist with an enthusiastic and customer-focused mindset who excels in a fast-paced, growth-oriented environment. In this role, you will be the primary point of contact for customers, managing inbound written inquiries and proactively engaging with them to deliver outstanding service. By leveraging your expertise in our products and programs, you will ensure customer satisfaction while fostering seamless communication and collaboration within the greater customer service team and other cross-functional teams.
- Serve as central contact for managing, handling and directing all incoming customer interactions through Salesforce, emails and faxes.
- Review, create, and process order requests in appropriate databases.
- Provide guidance, updates, and resolutions on repairs & returns.
- Handle exception product orders & special processing.
- Manage back orders, short supply situations, and manual allocations as required.
- Monitor and execute customer quotes to ensure accuracy and timely delivery.
- Oversee loaner and sample management, coordinating directly with customers and/or sales representatives to ensure timely and accurate handling.
- Provide accurate, prompt, and professional responses to all customer inquiries.
- Document all customer interactions and activities comprehensively in Salesforce.
- Communicate effectively with customers, agents, sales teams, supply chain, and internal departments.
- Manage all customer inquiries and activities in compliance with company policies, quality system requirements, and global regulatory standards, including FDA, HIPAA, and other regulations governing medical devices.
- Support promotional sales campaigns, product launches, and service inquiries within established guidelines.
- Provide backup support as needed to maintain seamless team coverage and effective workload prioritization.
- Escalate critical issues to appropriate management levels.
- Other projects and duties as assigned based on shifting priorities.
- The hours will be 9:30 am - 6:00 pm ET and will require an additional 30 min the last 2 days of each month.
- Minimum 1 year experience using Salesforce and ERP systems preferred.
- Minimum 1 year experience in customer service, handling data entry, and order management preferred.
- Own each customer interaction by maintaining professionalism and engagement, ensuring a positive and efficient experience from beginning to end.
- Maintain strong attention to detail to ensure accurate processing of orders, requests, and data entry.
- High School Diploma or GED required; Associates Degree preferred.
- Excellent oral and written communication skills.
- Detail oriented individual who is able to prioritize work to ensure proper workflow.
