Summary
As a Payroll Administrator, Job Sourcer/HR Generalist will perform general payroll administration functions with specific responsibility of processing weekly & bi-weekly payrolls and maintaining personnel files. This role is responsible for the on-boarding and off-boarding of employees, as well as sourcing new candidates by maintaining job postings and reviewing applications daily. This person should have a broad knowledge of all HR functions. This could range from recruiting, onboarding, off-boarding & to benefits administration, training & performance management, records management, training, and compliance. They must provide support to the Human Resource Department and other personnel.
Responsibilities
Payroll System/Administration:
- Process weekly and bi-weekly payroll for 1,000 employees.
- Processing people, garnishments, direct deposits, pay cards.
- On-boarding by entering new employees into all systems.
- Completion of off-boarding and termination processes.
- Enter and maintain data in Paycom and deputy systems; run required reports as needed.
- Track Time off Accruals and reset on annual basis. Ensure employees use accrued time before year end.
- Complete weekly reports for department to management and executive teams.
- Perform all necessary payroll functions in Deputy Scheduler.
- Implement labor budgets and trainings to stores for Deputy Scheduler.
- Research industry compensation and make recommendations to management.
- W-4 changes, health benefits and auditing payrolls from the company’s affiliates.
- Understand labor laws for all states the company operates in.
- Support to the administration staff.
- Performs customer service functions by answering employee requests and questions.
- Clerical duties include filing and answering the phone.
- Perform other tasks assigned by the Senior Director of HR and HR Management.
Job Sourcing:
- Oversee completion of store staffing needs forms and spreadsheets.
- Post jobs on recruitment sites, both internal and external sourcing.
- Manage WorkStream & Paycom applicant tracking systems.
- Ensure posting are up to date and management is frequently checking recruitment sites for new applications by running reports and communicating with management teams.
- Train management on setting up WorkStream interview availability and ensure management has this set up to properly engage with applicants.
- Post on really, check all applicants daily, close and repost jobs as needed.
- Screen applicants via phone screens and coordinate next step interviews with HR Management and HR Director.
Human Resources Duties:
- Develop relationship and rapport with Costello’s management and provide coaching to managers regarding employee relations, employment laws in multiple states on ways to enhance employee productivity and work with them to resolve any HR/employee relations issues onsite.
- Run weekly training progress reports in Ace Learning Place.
- In charge of supply ordering and equipment for stores, new hires, and corporate office.
- Assist with development of HR plans, processes, forms, etc.
- Assist in benefits administration duties.
- Conducts all verifications of employment for current & past employees, when applicable.
- Maintain employment compliance with state and federal regulations.
- Assist the Human Resources Department with other HR related tasks.
- Assist Human Resources Department with employee and customer related accidents and incidents.
- Complete site visits to all locations in all states regularly.
- Establishes and maintains Human Resource records and reports.
- Participates in company meetings and attends other meetings, such as seminars and training.
- Ensure annual performance reviews are completed and reviewed on time according to performance due dates.
- Maintains company documents such as organization charts, employee directory, store lists on intranet site.
- Maintains Human Resource Information System records and compiles reports from database.
- Performs other incidental and related duties as required and assigned.
- Provide support to the Executive team.
- Assist the Human Resources Department with other HR related tasks and duties as assigned.
Job Requirements
- Bachelor degree in Human Resources or other business field, preferred
- Two years of HR Generalist experience or retail experience
- Intermediate to advanced Microsoft Office skills
- Excellent verbal and written communication skills
- Strong knowledge of human resource principals, practices and legal issues
- Great time management skills and whom is capable of thriving in a fast-paced environment with people who love their work
- Remarkable conflict resolution and interpersonal skills
- Sense of urgency and follow through are essential
- Reliable transportation and wiliness to drive to all company locations
- Flexible schedule, willing to work weekends and evenings when needed
