You will have experience in fleet administration, procurement processes, and data management while ensuring compliance with company policies and procedures.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES
Vehicle Administration
- Process title transfers for company vehicles moving intercompany or being sold.
- Notarize titles for sold company vehicles.
- Order and replace lost or new fuel cards for company vehicles.
- Process and pay company vehicle toll road invoices.
- Acquire new RC numbers for new vehicle purchases.
- Update and maintain records of vehicle transfers and intercompany movements in internal software.
- Manage and distribute vehicle insurance registrations.
- Maintain documentation and reporting of sold vehicles, equipment, and tubing.
- Ensure accurate reporting of asset disposals to the accounting team.
- Create material transfers accurate reporting and create material transfers of all asset disposals.
- Track and report committed spend through the procurement group to business units for current project actual costs.
- Monitor and report shipments of ordered materials.
- Assist with coordinating order receiving through Open Orders/Open Invoice for invoice processing.
- Track and monitor new vehicle purchase shipments and intercompany asset transfers
- Must have a current Notary License
- Familiarity with vehicle title transfers, fleet documentation, and procurement processes material transfers
- Proficiency in Microsoft Office Suite and internal fleet management software Samsara and Comdata
- Strong attention to detail and ability to manage multiple tasks efficiently
- Excellent organizational, communication, and problem-solving skills
- Experience working with accounting teams on asset disposal reporting (preferred)
- Minimum of Associate’s Degree
- Bachelor’s degree in Business Administration, Supply Chain, or Accounting preferred
