What are the responsibilities and job description for the File Clerk position at Counseling & Psychotherapy Center?
POSITION OVERVIEW:
The position of Records Clerk manages client files and all relevant documents pertaining to the area they are assigned to. They receive, file, and audit all confidential documentation regarding client treatment. This position may also assist area coordinators with a variety of daily tasks.
DUTIES:
- Maintain the organization of treatment files on all active and inactive clients;
- Comprehending and assessing the proper placement of documentation in regard to the Six Part File System;
- Review client monthly progress reports for accuracy and ensure their timely dissemination to probation/parole/correction agents;
- Participate in bi-weekly Records meetings to discuss policy, procedure, issues of concern and/or share best practices of position;
- Assist office staff in attending to incoming phone calls;
- Other related duties as assigned by the Area Coordinators.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in criminal justice or related field of study;
- Excellent communication, organization skills, and computer proficiency;
- Working knowledge of the methods of obtaining reliable social and personal information and the development of case histories
- Working knowledge of the causes of sexual crimes and methods of rehabilitation of these offenders;
- Some knowledge of state sex offender registry laws;
- Some knowledge of behavioral problems encountered with sex offenders;
- Ability to prepare accurate records and reports and to make clear and pertinent statements
- Ability to develop and maintain working relationships with other employees, offenders, outside agencies and the general public.
