About the Role :

We are seeking an experienced Administrator on a full time, fixed term basis, to join our small and tight knit team. As a key team member in the district, you will play a pivotal role in supporting our district office and volunteer members whilst providing guidance to staff, ensuring resources are allocated appropriately. The role may be located at either our Casterton or Portalnd / Heywood district office.

Your main duties will include :

  • Efficient office management : ensure the District / Regional office operates effectively, prioritising tasks and issues on behalf of Management and staff.
  • Customer service : Serve as the first point of contact for internal and external clients, handling interactions with diplomacy, confidentiality and professionalism.
  • Document management and preparation : Oversee the preparation, retention and accessibility of reports and documents using the appropriate record management systems. Draft correspondence, presentations, briefing notes and reports often involving research and data interpretation.
  • Relationship building : cultivate strong networks and cooperative relationships with internal and external stakeholders, ensuring timely and professional resolution of issues.
  • Coordination : manage schedules, travel arrangements and meetings for managers and staff. Coordinate meetings, including agenda preparation, catering, minute taking and follow up of action items.

About You :

  • Strong organisational and time management skills.
  • Exceptional communication and interpersonal abilities.
  • A high level of professionalism and discretion.
  • Proficiency in MS Office and record management systems. (Experience working with InfoHub, SharePoint, SAP, MYOB or other business accounting systems will be highly regarded.)
  • Proven ability to manage competing priorities in a fast-paced environment.
  • Experience coordinating meetings, travel arrangements and managing diaries.
  • A proactive and resourceful approach to problem solving.
