Activities Director
General Job Description:
Oversee/Manage all Social & Recreational activities. Assist with the daily operation of a 400 Unit Residential 55 Community located in Yaphank, NY.
Major Duties and Responsibilities:
- Develop, Oversee and Manage all Social & Recreational Activities
- Organize Clubhouse Activities i.e. Happy Hour, Bingo, Game Nights etc. Fill up the calendar to promote the use of the clubhouse.
- Assist the Entertainment Committee with various social functions i.e. Holiday Parties, Fire Pit Gatherings etc.
- Collect Money for Events and Activities via the POS System
- Support/Assist the HOA Entertainment Committee
- Assist with the daily operations of the Community.
- Publish the weekly HOA Newsletter and Monthly Activities Calendar
- Assist with the operation of an 11,000 sq. ft. Clubhouse with 2 outside Pools, Inside and Outside Sports Bars, Fitness Center, Card Rooms, and Ball Room.
- Assist Property Manager with the Hiring and Training of Concierges and bartenders as required.
- Routinely Inspect the Clubhouse and Recreational Facilities for all necessary maintenance and repairs.
- Assist with Investigations and Resolutions of homeowner complaints.
- Fill in for the Property Manager in his absence.
- Enforce HOA By-Laws and House Rules and Resolve any violations.
Other Duties and Responsibilities:
- Assist with the Management and ongoing use of the POS System initially for
- Event fees, Bar and Food service and other modules as the HOA Board directs.
- Help the Property Manager Coordinate/assist the HOA Committees and
- Clubs to provide meeting space and events.
- Tend Bar and Assist with Food Service as required. Assist with the set up & clean up
- Coordinate Bartender/concierge staff and keep the staff current on updated policies and procedures.
- Perform weekly liquor inventory and submit to management for review before purchases.
- Prepare and submit daily inventory, tally sheets and bar receipts.
- Order Bar, Clubhouse Event and Office Supplies. Update the Inventory.
- Any other duties deemed appropriate in conjunction with the management of the property and events, as approved by the Board of Directors.
Qualifications for the Job:
Education:
- Associates / College Degree – Business, Food Service, Event Planning preferred.
- Must have or be able to obtain a Bar Service License.
- Must have or be able to obtain a Food Service License.
- Must have or be able to become Certified in CPR and AED.
Experience:
- At least 5 years of Activities and Event Planning or comparable experience with demonstrated increasing roles and responsibilities.
- Computer literate, Competent in MS Word, Excel and Adobe.
Other:
- Familiar with Social Activities.
- Familiar with Federal, State and Local Laws as they pertain to the operation of a Condominium Community with Pools, Clubhouse, Bars & Food Service.
- Must be able to work a flexible schedule.
