The County Commissioners Association of Pennsylvania (CCAP) is the voice of Pennsylvania counties. POSITION DESCRIPTION
This position provides essential administrative support to the Pennsylvania Opioid Misuse and Addiction Abatement Trust. The role involves attending and supporting meetings, preparing and managing documents, coordinating communications, and maintaining positive relationships with Trustees and other partners. Direct supervision will be provided by the Opioid Trust Administrative Director.
RESPONSIBILITIES
- Meeting Support:
- Attend meetings and provide on-site support.
- Accurately record and document meeting notes.
- Coordinate and arrange meeting logistics.
- Document Preparation and Data Entry:
- Prepare and format communications, documents, reports, and presentations.
- Perform data entry tasks and ensure accurate maintenance of records.
- Communication and Coordination:
- Send, manage, and track emails and other forms of communication.
- Schedule and organize meetings and appointments.
- Prepare and send mailings and other correspondence.
- Triage and prioritize incoming inquiries.
- Relationship Management:
- Build and maintain positive relationships with Trustees and other Trust partners.
- Perform other duties as assigned by the Opioid Trust Administrative Director.
QUALIFICATIONS
Experience and Education:
- High school diploma or equivalent; additional qualifications in office administration or a relevant field preferred.
- Proven experience as an Administrative Assistant or in a similar role.
An equivalent combination of experience and education will be considered satisfactory for the position.
Required skills and knowledge:
- Attention to detail and the ability to independently create solutions with minimal oversight.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Highly computer literate with capability in email, MS Office products, and related business and communication tools.
- Knowledge of the operation of office equipment including copiers, printers, phones, etc.
- Ability to multitask, prioritize tasks, and handle confidential information with discretion.
- Demonstrated ability to build and maintain positive professional relationships.
- Strong decision making and problem-solving skills.
- Strong time management skills.
- Valid driver’s license and acceptable MVR.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Keeping a work schedule within the standard office hours of the Association.
- Occasional evening or weekend hours may be required.
- Requires some travel to conferences and other external events and meetings as necessary, which may include instances requiring overnight stays.
- May require standing or sitting for extended periods of time.
- Requires the ability to operate computer equipment essential to the completion of the position's responsibilities.
FLSA: For purposes of the Fair Labor Standards Act this position is a full-time, non-exempt position.

Pay: $42,000.00 - $49,000.00 per year
