General Statement Of Duties
The purpose of the Processing Assistant III is to provide duties in the front office as required. Answering the telephone and transferring calls to the appropriate person, taking messages, greeting the public and helping the person requesting information. Patient check-in and preparation of required forms. Responsible for entering and storing codes on the computer terminal along with required information for immunizations into the current electronic medical records software and state immunization software. Primary contact for medical records request.
Normal work hours are Monday – Friday 8:30 am – 5:00 pm, but in the event of a public health emergency, you may be required to report to work outside of your usual work hours.
Essential Functions
Public Contact – Answering the telephone and transferring calls to the appropriate person, taking messages, greeting the public and helping the person requesting information. Appointments are made for patients. Records are reviewed ahead of time to ensure proper documentation is included. Information is obtained from the patient so that necessary files are filled out. Patient is assured of confidentiality. Instruct patient of necessary fees, collect and print receipt for patient.
Records and Reports – Complete financial forms, demographics, medical records releases, and other related forms – both electronic and written to compile and complete a medical record.
Office Equipment Operation – Adding machine is used daily to balance day sheet and to complete financial eligibility forms. The computer is used to store all clinic visits for patients and to make appointments. A copying machine is used to compile necessary reports and forms and to retain needed information such as copies of Medicaid cards, immunizations, signed release of information, etc.
Files – The paper medical files are kept in alphabetical order. These files contain medical records and forms such as personal data, financial eligibility, etc. Immunization records are entered into NCIR state program.
Making sure there are ample supplies and forms in the front office.
Performs other duties as requested and/or required.
Follows all departmental policies and procedures.
Participates in Anson County Emergency Response activities as needed/required.
Follows OSHA and HIPAA policy, standards and guidelines.
Requirements:Education and Experience:
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office experience; or an equivalent combination of training and experience.
Licenses or Certifications:
Must have a valid Driver's License and be able to maintain a safe driving history.
