Ford County Administrative Specialist Fund : General Department : Administrative Services FLSA Status : Non-ExemptReports To : Building and Grounds SupervisorJob Status : Full time / hourlyTravel Required : Minimal travel requiredWork Schedule : 40 hours / weekMonday-Friday 1-hour lunch break Position Summary : Under the supervision of the Building and Grounds Supervisor, the Administrative Specialist is involved in the performance of clerical tasks of moderate complexity and variety. Responsibilities involve occasional public and frequent interdepartmental contact through conveying messages, information and division procedures or schedules. Work involves maintaining office operations, records, purchase and work orders and reporting requirements of the Building and Grounds division and providing clerical support for other departments or offices as requested. Essential Function Statement(s) Maintain a system to track work orders and task assignments for the maintenance and custodial supervisors Data entry of maintenance records, cleaning schedules, warranty information, etc. Create forms, letters, invoices, vouchers, statements, records, reports, and similar materials from rough drafts as required; Receive supply deliveries and reconcile with original order; Maintains files of correspondence, forms, reports and other materials as required; Organize and process purchase orders; Opens and distributes mail Answer multi-line telephone and relay messages for the appropriate contact. Learn the payroll processing procedure; Learn how to operate mail postage machine. MARGINAL FUNCTIONS Operate county vehicles for errands is needed. Other related duties as necessary or required. Position qualifications Pass a post-offer / pre-employment drug screen. Possess a valid Kansas Drivers License SKILLS & ABILITIES Experience : More than three years of clerical or administrative support experience. The employee is expected to have acquired the necessary information and skills after one year in the position. Education : High School diploma or equivalent. Skills : Knowledge of Microsoft Office. Ability to operate a personal computer, copy machine, multi-line phone system, calculator, postage machine, and other related office machines. Problem Solving : Limited problem solving exists in this position. Decision Making : Minimal decision making is required in this position. Accountability : Employee is not responsible for budgetary control of the department and does not participate in the annual budget process. Supervision : Requires some direct supervision. Job assignments are occasionally reviewed by supervisors. Position does not have supervisory responsibilities. Personal Relations : Frequent contact with other county departments and the general public requiring the ability to communicate and relate in a positive and effective manner.
