Position Summary & Responsibilities
The Administrative Specialist position in the Classification/Records department is responsible for processing all visiting applications, authorizations and questionnaires in compliance with established policy and procedure. Information from the visiting applications is entered into a database program established for maintaining visiting information. Provides basic instruction regarding the visiting program when required. Gather information to assist in the establishment of visiting records for inmates transferring to NCF. Make proper notification of disapproved visiting applications. Send updated visiting information to East Unit Staff as required. Input information regarding contact/non-contact visiting utilizing information found on existing reports. Respond to visiting inquiries.
Additionally, the Administrative Specialist position is responsible for preparing files as necessary for on and off grounds hearings, and for inmates transferring to and from the Facility to assure confidentiality of those files at all times. Responsible for delivering files to the designated pickup area of the facility at the appropriate time. Responsible for receiving files from the appropriate personnel at the designated pickup area of the facility at the appropriate time. Responsible for pack-out and delivery of inactive files to the Facility Repository as designated. Responsible for inactive file retrieval of same files for delivery to receiving facilities as indicated. Types and distributes clearance forms for inmates scheduled for all types of releases. Processes incoming files.
Qualifications
Minimum Qualifications: Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
Post-Offer, Pre-employment Requirements: Must have a Valid High School Diploma or Equivalent. Must be able to perform the essential functions of the position. Must take and pass drug screen, background check, and Tuberculosis (TB) test.
