ADMINISTRATIVE ASSISTANT SENIORDETENTION SYSTEMS, SHERIFF’S OFFICE
The Administrative Assistant Senior – Detention Systems performs various administrative functions related to inmate accounts, including inmate requests for financial records, educational documentation, and other general inquiries. This role also performs daily cash transactions, uploads financial records to banking institution, and creates, updates, and removes jail detainers (holds) with other institutions based on legal documents received from the court. The incumbent in this position must possess accounting and cash handling skills and an acute attention to detail.

Position Summary and Job Duties
Perform a wide variety of administrative and accounting duties for public safety personnel, which may include confidential and sensitive matters
Coordinate flow of paperwork; document future court dates; obtain appropriate authorizations, signatures, and documentation; enter data in Jail Management System; and work closely with department staff under tight time constraints
Using the Jail Management System, manage inmate accounts either by inmate request and/or order; this may include issuing checks from inmates account to post bond; pay for inmate fees, manage incoming funds, release remaining funds, issue payments on behalf of inmate, commissary, consolidate juvenile accounts; and or unclaimed funds
Prepare monthly invoices for US Marshall, Department of Corrections, local municipalities, and villages for inmate housing
Receive monies, write receipts, and make deposits; replenish cash boxes; prepare ACH transfers and journal entries and upload financial records
Perform routine internal auditing work to verify calculated jail sentences, ensuring that inmates do not get released too early or too late
Maintain files and records, including inmate medical files; inmate requests for medical records; copy, scan, and save files; retrieve files and ensure appropriate organization and labeling of files and materials
Responsible for daily jail reporting, processing of indigent inmate mail, and responding to inmate financial requests
Place and maintain active detainers with other detention facilities for inmates who need to return to Kenosha County for outstanding bonds or sentences
Track Electronic Monitoring and Huber inmates and charge their accounts appropriately
Represent the Kenosha County Sheriff’s Office in a professional manner
Communicate with Circuit Court of individuals who fail to report for court ordered sentences
Provide relief and assistance for other detentions administrative clerical positions
Notarize documents for inmates as needed
Perform other work as required or assigned

Skill in cash handling, including the process of receiving, managing, and transporting cash

Job Requirements, Education, Training and Experience
Required Education and Experience
High school diploma or GED equivalent
Previous work experience with clerical, customer service, and cash handling responsibilities
Or any combination of education, training, and experience which provides the knowledge, skills, and abilities necessary to perform the job
Preferred Education and Experience
Associate Degree in Accounting, Administrative, Office, Clerical field
Work experience in a municipal setting, law enforcement agency, or in Circuit Court
Experience using New World Database, CCAP
Ability to become a notary public
Bilingual in Spanish/English – pay differential available
Other Job Requirements
Valid driver’s license and acceptable driving record
Possess a qualifying background
Ability to work standard work hours: Monday – Friday, 7:30 AM to 4:00 PM; and
Ability to work overtime and/or adjust starting/ending times when needed, with or without advance notice
