CORE DAILY RESPONSIBILITIESCommunicate and assist the public by responding to questions, direct inquiries and providing information or processing documents by correspondence, telephone or in person. Maintain and disburse forms and public information.SCHEDULEMonday - Friday 8:00am - 4:30pmDURATION3 weeks minimum, duration unknownESSENTIAL FUNCTIONSThis classification is primarily responsible for providing office and administrative support to staff within the department and the public to ensure the needs of the public are met in a positive, timely and efficient manner. Employees may be assigned general responsibilities or be assigned to a specific function within the department.
EXAMPLE OF DUTIES
Communicate and assist the public by responding to questions, directing inquiries, providing information, or processing documents by correspondence, telephone, or in person.Maintain manual and electronic data files and systems for tracking processes and maintaining records.Schedule meetings and/or hearings for self or others to meet with public to review documentation, determine eligibility, issue permits, vouchers and authorizations.Receive and receipt fees.Process applications based on review and confirmation of eligibility and documentation.Maintain and disburse forms and public information.Research records and data for information and historical documentation.Prepare reports, minutes and correspondence from data provided or researched.Receipt, deposit, and account for cash received from a variety of funds.Maintain records for substantiation of disbursement of funds, grants, allocations.Maintain schedule of conference and meeting rooms.Prepare agendas, notify participants, and coordinate internal and external meetings.Assist other administrative staff with responsibilities.OTHER JOB FUNCTIONS: Provide excellent customer servicePerform other duties as assignedRegular, reliable, punctual attendance, evening meetings may be occasionally required.Knowledge of: Entry Level MS Suite Public Records ActOrdinary database management Ability to: work within regular and recurring work situations with occasional variations from the normprioritize own workloadoperate from established policies and practices, occasionally developing procedures for specific processes within their areas of responsibilityoperate with minimal supervision with assistance for new or unusual situations available from peers, supervisor, or professionals within their work areacommunicate effectively on a regular basis in person or by telephone with the public providing information and assistancecommunicate effectively with other employees within the division and the department, with other County departments and government agenciesdemonstrate attention to detail
