IMMEDIATE VACANICES:
Department of Planning - Permanent - Full-Time
Serves as secretary to a quasi-judicial board or commission established at the division level; records/takes and transcribes minutes of conferences, meetings, and public hearings; and performs other related duties as required.
Distinguishing Characteristics:
This class is distinguished from that of Secretary to Boards/Commissions II in that the Secretary to Boards/Commissions I is responsible for the performance of secretarial functions in support of a quasi-judicial board or commission established at the division level; whereas, the Secretary to Boards/Commissions II is responsible for the performance of secretarial functions in support of a quasi-judicial board or commission established at the departmental level.The following are examples of duties and are not necessarily descriptive of any one position in this class. License Requirement: A current typing or keyboarding proficiency certificate from an authorized agency with a minimum speed of 40 net words per minute must be presented at the time of filing.
Knowledge of: office practices and procedures; filing methods and systems; spelling and word usage; uses of standard office machines and equipment including a personal computer.
Ability to: type/keyboard accurately at a rate of 40 net words per minute; as applicable to specific positions, take dictation at a rate of 120 words per minute and transcribe notes accurately; understand and interpret laws, ordinances, rules and regulations; learn and effectively use word processing and other software applications; summarize and brief materials; use initiative in organizing and completing work; compose correspondence; give and follow written and oral instructions; deal tactfully and effectively with employees and the public; work harmoniously with others.

- Screens correspondence and other materials presented to the board and/or commission for consideration;
- Prepares and distributes agenda for board and/or commission meetings; gathers necessary reports and background data on maters to be covered and assembles supporting materials for board and/or commission meetings and public hearings;
- Records/takes and transcribes minutes of meetings, conferences and hearings;
- Prepares verbatim transcripts and minutes;
- Prepares subpoenas and notices of hearings;
- Prepares complaints, orders to show cause, findings of fact, resolutions, ordinances, etc.;
- Composes correspondence for the signature of the board and/or commission chairperson;
- Maintains files of report and correspondence pertaining to the program of the board and/or commission;
- Receives office callers and telephone calls, answering inquiries and giving information on board and/or commission policies and programs;
- Compiles statistics and data for reports as required by the board and/or commission;
- May assist in the preparation of the agency budget;
- May assist the Private Secretary as directed by the director;
- Performs other duties as assigned.
