The Assessor/Recorder/County Clerk has openings for Recordable Documents Specialist I

Recordable Documents Specialist I is responsible for performing detailed research and examination of legal documents for conformity to the recording and indexing requirements of Federal, State, City and County government codes and ordinances, abiding by the confidentiality policy in the County of San Diego Administrative Manual, Item No. 0400-11. These positions require processing of legal documents, independently researching records, processing birth/death/marriage certificates, indexing work, issuing marriage licenses, and performing civil ceremonies. County Recorders are required by law to examine, reject or record all documents that are presented for recording that same day, and prepare an official records index of recorded documents within two (2) business days regardless of volume. Incumbents work within this time frame and are subject to strict legal criteria governing recording determinations, indexing operations and quality review standards. Mandatory overtime is frequently required with little or no prior notice.

Interviews and Hiring Process:

Job offers for selected candidates will be made shortly after the interview process is completed. Candidates should be prepared to immediately complete background paperwork, upon receipt of a job offer.

The timeline for this recruitment is outlined below. Please note that dates are approximate and are dependent upon the successful completion of each step of the process.
  • Job Offer and Background Process begins: Shortly after the interviews.
  • Pre-employment Medical Screening: Approximately 3 days following successful background investigation results.
  • Anticipated Start Date: Start date will be based upon successful completion of background or other mutually agreed upon date. 
 If you are not selected for this interview process, you may have the opportunity to compete for future vacancies.

MINIMUM QUALIFICATIONS

1. One (1) year of full-time experience in a Recorder's or County Clerk's Office performing legal document processing, recording or indexing work; OR,

2. Two (2) years of full-time experience processing legal or recordable documents in a legal court, government, real estate, property title, or similar office setting.

CONDITION OF EMPLOYMENT 

As part of the County of San Diego’s pre-employment process, prospective candidates will undergo a background check (including fingerprinting) and a pre-employment medical screening prior to beginning County employment. Additional types of background investigations may be conducted based on the job-related activities of the position. Current County employees may be excluded from this process.

EVALUATION 

The names of qualified applicants will be placed on a nine (9) month eligible list based on scores received during the evaluation of information contained in their employment and supplemental application. Please ensure all information is complete and accurate as the responses you provide on the supplemental application form will be reviewed using an automated evaluation system. If you are successful in the initial screening process your application will be reviewed individually to confirm that the information you provided is accurate and qualifying.
