Part Time Secretary I
Schuylkill County Public Defender Office
SUMMARY: Under general supervision, provide administrative secretarial assistance to ensure timely transmittal or processing of information, efficient organization of department data and professional courtesy to office callers and visitors.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Takes dictation and transcribes letters, memoranda, reports or other materials at an average rate of speed.
2. Types statistical tables, reports, subpoenas and similar documents.
3. Replies to correspondence without dictation in accordance with established procedures.
4. Routes incoming mail and assembles files and other material to facilitate reply by supervisor.
5. Maintains cross-reference office files, client data base and a variety of other records.
6. Serves as receptionist, answers telephone and provides information in response to public inquiries by referencing available materials (i.e. laws, ordinances, and regulations).
7. Prepares and processes cases for various courts.
8. Performs journeyman level skilled work in the operation of computer and word processing equipment: (i.e. interprets the abilities of automated equipment and adapts and modifies its performance to the needs of the department, agency or office).
9. Perform related work as required such as general office duties including making photocopies; inventories, staff reports, maintaining work schedules, and material and supplies.

EDUCATION: Any combination of education and experience, which indicates
possession of the skills, knowledge and abilities listed below. An example of acceptable
qualifications for this position is completion of high school degree or the equivalent and related office experience.
KNOWLEDGE:
knowledge of department policies and procedures. *
knowledge of department services and programs. *
knowledge of County’s Smart Term software and Public Defender’s Caseload Program.*
knowledge of office practices and procedures. *
knowledge of English word usage, spelling and punctuation.
knowledge of Microsoft Office programs, including but not limited to Word, Excel and Outlook.
Moderate bending, lifting, stooping, squatting and lifting up to 25 lbs.
Work requires daily travel to and from Schuylkill County Court House. Work is performed with frequent interruptions and frequently involves responding to angry or upset individuals.
