ABOUT THE DEPARTMENT
The Shasta County Health and Human Services Agency (HHSA) partners with communities to protect and improve the health and well-being of Shasta County residents. Established in 2006, the HHSA is organized into four branches : Behavioral Health & Social Services, Public Health, Economic Mobility, with a centralized Administration Services. The HHSA promotes optimal health for all. The frail, the abused, the mentally ill and those without resources look to the HHSA for services and resources to meet their basic needs, and to protect their health and safety. This transformation improves efficiency, avoids unnecessary duplication of effort, encourages collaboration among programs and organizes the HHSA's services to be more responsive to the needs of the public.
Children's Services encompass the services that help ensure children are protected and safe. This branch investigates alleged abuse and neglect of children, and it licenses foster and adoptive homes for children who are experiencing traumatic events in their lives. The branch also encompasses children's mental health and youth alcohol and drug services. This branch also works with juvenile justice and education to coordinate services for clients.
ABOUT THE POSITION
This position is with the Behavior Heath and Social Services Branch's child welfare program, specifically the Child and Family Team Meeting Unit. This position's primary duties include several tasks regarding child and family team meetings, including but not limited to scheduling meetings, booking meeting locations, sending invitations to meeting participants, scribing during meetings, completing notes after the meeting, data entry, and filing. Other duties may include but are not limited to a variety of general or specialized clerical duties related to filing, reception, form processing, record maintenance, mail, typing or data entry; obtains and compares information related to department records, programs, and services; and performs related work as required.
DISTINGUISHING CHARACTERISTICS
Working under general supervision, Office Assistant II is the journey level in the Office Assistant series. Employees at this level are expected to be fully qualified and able to perform difficult and responsible office support work within the framework of established work methods and procedures and to use independent judgment in selecting and applying specific references, procedures, sequences, and alternatives to different work situations, referring non-procedural questions to the supervisor. Positions in this class are flexibly staffed and are normally filled by advancement from the lower level of Office Assistant I, or if filled from the outside, require prior related experience.
The Office Assistant II differs from the Office Assistant III by the level of supervision received, the scope and effect of functions performed, the degree of independence exercised, and the complexity of work assigned. The Office Assistant III may also be assigned lead worker duties, or screening duties on a consistent rather than incidental basis. The Office Assistant series differs from the Account Clerk series in that the primary duties of the Account Clerk involve the application of mathematical skill and ability in the use of financial, numerical and statistical data and information. The Office Assistant class performs a wide variety of general office support duties in which the use of mathematical ability is incidental to the primary function and most frequently performed duties.
IDEAL CANDIDATE
The ideal candidate will have one (1) or more years of recent (within the last five years), full-time, experience in direct customer service and / or providing clerical support in an office environment; one (1) or more years of work experience using computers with proficiency in Microsoft Office suite; and a clear understanding of the need of maintaining confidentiality. The candidate will be self-motivated and able to work independently, accept and follow directions, work as part of a team and would have the initiative to take action to work efficiently and effectively; a strong work ethic and ability to prioritize assigned work tasks; excellent listening and strong writing skills including strong knowledge of grammar, strong verbal communication skills; excellent customer service skills; solution based problem solving skills; participate effectively in meetings and trainings; ability to maintain a high standard of professionalism; possess a valid California driver's license and able to meet Shasta County's automobile insurability requirements.

For Office Assistant II, duties are performed at the journey level : Assists the public in person or by phone; answers inquiries related to department services, programs, and operations; obtains information, resolves discrepancies or errors, disperses relevant information, or refers client to the appropriate personnel or location; explains the proper use of forms and documents; screens and distributes incoming mail and sends out informational materials and letters; screens and routes telephone calls; schedules appointments; produces notices, reports, letters, legal documents, fiscal, or statistical information; processes, maintains, and prepares forms, records, reports, and control logs; maintains department files; researches and assembles information; verifies that information or data is complete, accurate, and consistent; identifies and corrects deletions or errors; updates and deletes information; may operate automated systems where the routines and procedures require limited interpretation and application development within pre-established guidelines and structure; verifies data on source documents and edits for conformance to specifications; accesses and updates records; produces statistical, data processing, and production related reports; may perform initial application screening function on an incidental basis; performs related duties as assigned.

SPECIAL REQUIREMENT
Some positions in this classification may require possession of a valid California driver's license. Employees who drive on County business to carry out job-related duties must possess a valid California driver's license for the class of vehicle driven and meet automobile insurability requirements of the County. Note - accrued vacation leave may not be used until after three months of employment. For purposes of vacation accrual, a working day is no more than 8 hours.
Employees may elect to receive a payment for Vacation hours (in lieu of use) for up to twenty hours - in five whole hour increments - of accrued vacation.
Sick Leave :
Employees terminating in good standing after completion of 5 years of continuous service will receive a pro-rata payoff of accumulated sick leave.

Shasta County contracts with PERS for medical insurance.
Depending on the plan selected, the County pays most of the employee premium, and contributes a portion of the dependent premium.
Contributions are made for a portion of a retiree's insurance premium.
Dental Plan :
The County pays a portion of the employee's and dependents' premium for dental insurance. The employee pays the full premium during the first six months of coverage.
Vision Plan :
The County pays the employee premium and employees may enroll dependents at their own expense.
Life Insurance :
The County pays the premium for life insurance for most employees. The amount of coverage varies by bargaining unit. For UPEC-General employees the current coverage amount is $25,000.
Additional Life insurance is available to purchase through Aflac and The Standard.
Retirement :
The County is in the Public Employees' Retirement System (CalPERS) coordinated with Social Security.

Employees pay 9.5% of his or her salary, on a pre-tax basis for a period of time as specified in his or her labor contract, or Personnel Rules as appropriate. Members hired prior to 2013 may have a different contribution percentage.
