Position: Secretary/Assistant to the Child Custody and Visitation Officers
Reports to: Child Custody and Visitation Officers
Position Overview: An employee in this position is responsible for performing a wide variety of staff assignments, many of which have a significant effect upon department policy.
Education/Experience: Skilled in keyboard, Microsoft Office and basic computer functions. At least one year experience with these skills is preferred.
Employment Standards: The employee must be able to work not only with fellow employees but also with the public. The employee must coordinate scheduling with other offices, answer questions about the office to county personnel and to the public, in a respectful and informative manner. The employee must be able to work independently and produce satisfactory work, in a timely fashion. The employee must adhere to the confidentiality of the office.
Essential Duties and Responsibilities:
· Type letters, court reports, envelopes, and file accordingly.
· Prepare documents to purchase supplies, equipment, etc., by referring to catalogues and other sources to obtain prices and related information.
· Prepare monthly statistic reports, log and file the information.
· Determine supply needs for the office and prepare the supply requisitions.
· Insure bills and requisitions are sent to the appropriate offices for approval.
· Insure mail delivery schedules are punctual and mail is processed in the most efficient and expeditious manner.
· Ability to establish and maintain effective working relationships with administrative officials, other employees and the general public.
· Ability to carry out, without supervision, staff assignments requiring the organization of material and telephone/personal inquiries.
· Ability to speak and write effectively.
· Knowledge of specialized office procedures and practices, which relate to the work process.
· Ability to make independent determinations of the best possible resolution to pressing problems.
· Ability to deal with the public.
· Ability to prepare small booklets and mailings.
· Ability to schedule and coordinate court cases with other offices accurately and follow appropriate scheduling practices.
· Process appropriately a wide variety of court related documents.
· Assist in formulating office seminars and documents associated with office video meetings.
Work Environment/Physical Standards:
Ability to walk stairs, sit for long periods of time, lift 10 pounds and communicate verbally. The noise level in the environment is low.
