POSITION SUMMARY
This full-time Receptionist position is the primary point of contact between the CASA office and members of the public, including attorneys and service providers. This person is responsible for receptionist and clerical duties of the office, including, but not limited to, answering the telephone, and greeting and assisting those that enter the office. This person’s duties also include scanning and e-mailing correspondence or court documents, maintaining the office Outlook calendar, creating court orders, mailings, creating and maintaining files including electronic files, data entry, provide support to staff as needed, ordering office supplies, and other duties assigned. The Receptionist must provide exceptional customer service at all times.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- High School Diploma or GED.
- Clear background investigation.
- Must adhere to Court and/or County policies and procedures.
- Ability to use Microsoft Word, Microsoft Excel, and Microsoft Outlook to create multiple types of documents, forms, and reports.
- Ability to operate a personal computer, printer, fax, multi –line telephone, photocopier, and similar office equipment.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to manage multiple tasks efficiently and set priorities.
- Ability to interact with others, members of the judiciary and the bar, other county departments, and coworkers, both in person and by telephone, in an effective and courteous manner.
- Need organization, time management skills, attention to detail and accurate records maintenance.
- Recognition that this position requires reliability, confidentiality and dedication to all tasks at hand and to the integrity of the CASA Program and Court System.
- Answer telephones and assist those who enter the office.
- Obtain mail from mail room daily then scan and file as needed.
- Create court orders, and corresponding files, then send out documents as needed.
- Maintain folder with Judge’s calendars and keep office Outlook calendar up to date.
- Review emergency petitions and place necessary information on Outlook calendar.
- Create and update files using LaserFiche for cases being monitored.
- Follow up with advocates to maintain Outlook calendar in regard to attendance at hearings, meetings, and reports.
- Maintain monthly log of reporting forms from advocates.
- Maintain a table of current cases.
- Audit case files.
- Send out hearing notices.
- Sort and scan e-mails and file them as needed.
- Order office supplies as needed.
- Support staff as needed.
- Data entry into CASA Manager Program.
- Other reasonable duties as assigned by Supervisor.

Pay: From $15.85 per hour
