Countybank is seeking a self-motivated, detail-oriented individual to serve as the Executive Assistant performing administrative tasks for the Corporate Services team. The Executive Assistant must maintain a high level of confidentiality and discretion, always presenting a professional demeanor.
The ideal candidate is enthusiastic about providing an outstanding experience for internal and external customers, skilled in anticipating needs, and experienced in resolving problems quickly and efficiently. This individual must possess a high level of independence, be detail-oriented, organized, and self-motivated, as daily tasks must be completed within deadlines and to a standard of excellence, with minimal supervision. A commitment to embracing our corporate culture while serving clients, communities, and fellow associates is essential to the success of this position. This is an in-office position.
Key Responsibilities:
- Management of personal and professional appointments and obligations, financial and legal matters, and communications related to community and professional involvement for executive leadership.
- Preparation of multifaceted travel arrangements and detailed itineraries for the executive leadership; coordination with internal and external stakeholders to manage executive's schedule.
- Event management for internal corporate events, including Board meetings, off-site Board strategic retreats, company-wide events, and milestone anniversary calls or visits by executive leadership.
- Communications including written correspondence, telephone calls, and management of client and employee relations on behalf of executive leadership.
- Executive support for leadership to ensure efficiency of schedule and maximize opportunities for executives providing strategic support to all departments and leaders within the organization.
- Administrative support for wider Corporate Services team including but not limited to meeting scheduling, event coordination and catering, reception of office guests, office supply management, and maintenance of facilities to include company vehicles and contact with outside vendors.
- Assisting with managing client entertainment plans, including but not limited to preparation and recordkeeping for multifaceted arrangements related to sporting events, entertainment and networking related travel, client dinners, and external relations including Countybank Foundation requests, charity giveaways related to farm excursions or hunts, and more.
- Other duties as assigned.
Education and Skills Desired:
- Associate's degree required. Bachelor's degree preferred.
- Experience in executive administration or concierge-style customer experiences.
- Experience communicating on behalf of an executive-level professional.
- Experience with event planning.
- Excellent verbal and written communication skills.
- Strong organizational skills; must be detail oriented.
- Ability to work independently with minimal supervision.
- Strong decision-making skills, with the ability to consider alternate conclusions and actions.
- Proficiency in Microsoft Office Suite.
- Proficiency in utilizing document management systems, including but not limited to printing, scanning, copying, faxing, document conversion, and document editing software.
- Ability to work in a fast-paced, professional environment.
- Strong understanding of and appreciation for confidentiality.
- Customer service experience.
