About the Role: Countybank is seeking a self-motivated, detail-oriented individual to join our team as a Loan Operations Administrator. This role is responsible for supporting the loan processing team to ensure the timely and accurate completion of daily, weekly, and periodic loan operations and compliance tasks.
Key Responsibilities:
- Daily Balancing - Support the loan operations team with the daily balancing of general ledger accounts. Prepare daily, weekly, quarterly, and periodic reports, including past-due and charge-off reports, as requested by Administration.

Loan Maintenance - Perform the following servicing functions as needed:
- Customer Service: Handle external and internal phone calls, emails, and correspondence with professionalism and quality. Assist with non-routine customer situations by troubleshooting, researching, and resolving operational errors. Ensure timely maintenance of accounts as requested.
- Loan Compliance: Collaborate with Administration on internal and external audits. Manage the response and correction process for audit findings related to loan operations.
- Miscellaneous Responsibilities: Ensure the timely and accurate completion of mail handling, filing, ticklers, item entry, reconciliations, and other operational tasks.
- Document Imaging - Maintain the loan document imaging system, ensuring all documents are clearly imaged, readily accessible, and retained as permanent records. Regularly review and update imaging processes and software to ensure they are used effectively.
- Loan Exceptions - Follow up with the business development team, attorneys, insurance agents, and other relevant parties to ensure timely receipt and verification of pending loan documents.
- Team Support - Provide support to team members to ensure timely completion of daily tasks, deadlines, and reports.
- Appraisals - Work with lenders and real estate appraisers to order and review real estate appraisals.
- Paid Out Loans and Cure Letters - Oversee the timely processing of paid-out notes. Review cure letters to ensure they are mailed accurately and on time.
- Other duties as assigned.
Qualifications:
- High School Diploma or equivalent required; bachelor's degree in business or a related field preferred.
- Prior experience in loan support or administrative roles.
- Proficient in Microsoft Office Suite.
- Strong analytical and problem-solving skills with critical thinking abilities.
- Demonstrated ability to maintain discretion, confidentiality, and professionalism in all situations.
- Self-motivated with a proactive approach to tasks and responsibilities.
- Exceptional organizational skills with keen attention to detail.
- Ability to follow processes and procedures efficiently while learning new tasks.
- Excellent communication skills, with experience collaborating with internal teams, branches, and departments.
- Comfortable problem-solving both individually and as part of a team, with the ability to share and process information effectively.
- Ability to work independently and within a team.
- Ability to manage multiple tasks simultaneously and pivot quickly to address urgent priorities as needed.
