We develop AI / ML tools to help the DoD detect enemies and threats, help biomedical researchers find new cures for diseases, and help monitor machinery to prevent injuries and environmental catastrophes. About this position

The Contracts Administrator is a detail-oriented and dedicated professional who thrives in a collaborative work environment that encourages open communication and idea sharing. They are equally capable of working independently with focus and efficiency. They will support the Business Team. Key responsibilities include, but are not limited to :

  • Completion and organization of contract documentation, awards, and modifications (and associated paperwork).
  • Preparation, coordination and review of administrative proposal elements and forms for consistency, accuracy, and completeness.
  • Documentation of administrative requirements in preparing proposal submissions.
  • Assisting with completion of financial information for proposal submissions.
  • Assisting with subcontract compliance.
  • Managing subcontractor onboarding / offboarding and perform subcontract closeout activities.
  • Maintaining contract documentation and spreadsheets.

Qualifications

Key qualifications include, but are not limited to :

  • Excellent communication, analytical and organizational skills generally acquired through completion of a bachelor's degree program.
  • Previous experience with DoD customers and contracts management is a plus.
  • Demonstrated skills in analyzing data and formulating conclusions; full command of MS Office Suite with significant comfort in Excel. Experience with financial reporting preferred.
  • An intellectual curiosity and energy towards learning new things and ability to identify opportunities for continued process improvement.
  • Ability to work independently across numerous concurrent actions under tight deadlines and set appropriate expectations with the Business Team.
  • Ability to identify subcontract issues and discrepancies and make independent recommendations to the Business and Project Teams.
  • Clear understanding of accountability and possesses the ability to prioritize multiple projects / tasks simultaneously to ensure timely completion.
  • Resourceful, customer-service and solution oriented.
  • Ability to communicate both verbally and in writing with all levels of the organization.
  • Significant grasp on appropriate escalation when issues arise.
  • Ability to learn changing processes / requirements related to contract management.
  • Minimum qualifications

  • Software expertise : Demonstrable expertise using various tools and software, especially Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and working with PDFs.
  • Minimum of 2–4 years of experience in contract or business administration, legal support, or a related role. Knowledge of common practices, procedures, and processes of contract administration is a plus.
  • Bachelor's degree in business administration or a related field.
  • Strong attention to detail and excellent organizational skills. Strong verbal and written communication and professional, customer service skills.
  • Ability to work in Durham, NC (relocation assistance available).
  • Eligibility for US security clearance, US citizenship required.
  • Bonus skills

  • Department of Defense contracts administration experience. Knowledge of relevant laws, regulations, terms, conditions, and policies governing federal contracts, including federal acquisition (FAR) regulations.
  • Experience managing compliance with Defense Federal Acquisition Regulation Supplement (DFARS) requirements.
