Overview:
The Administrative Associate works with the Director(s) in Patient Services to improve and maintain processes of operation relating to all personnel involved within their area/units of responsibility. This individual acts as liaison with various leadership personnel, internal and external. This includes, clerical functions, word processing, maintaining records, and computer systems support.
The Administrative Associate demonstrates excellent customer service. Demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.
Responsibilities:
Contributes to organization success targets for net operating margin.
Models Covenant’s Mission, Vision and Values of keeping our Promise of Caring and Commitment to Service.
Demonstrates excellent customer service.
Provide support to Patient Services Directors and Managers on occasion.
Works independently, proactively analyzes situations, identifies alternative solutions and makes appropriate decisions.
Orders and maintains office supplies and forms.
Distribute and route memos, literature, self and peer evaluations, Managing the Mandatories, age specific competencies, and any other material.
Schedule routine 1:1’s, monthly and quarterly meetings and responsible for the Directors calendars.
Works on special reports as directed.
Demonstrates excellent interpersonal skills, ability to work effectively under pressure, and ability to work accurately despite frequent interruptions.
Types memos, letters, minutes, and other professional documents including evaluations for Directors and Managers, patient, physician, and employee complaints.
Maintain and update department route slips, employee phone lists, and phone fans.
Receives and distributes department mail.
Responsible for appropriate expense assignment of the Director’s Visa cards.
Responsible for accurate biweekly payroll.
Maintains confidentiality.
Other duties as assigned.
Qualifications:
EDUCATION/EXPERIENCE REQUIREMENTS
High school diploma or GED required.
Training in office, secretarial, or computer field preferred.
Minimum of one year of secretarial experience.
KNOWLEDGE/SKILLS/ABILITIES
Computer competency, including Microsoft Office and Lotus Notes.
Knowledge of standard office equipment.
Knowledge of medical terminology
Excellent oral and written communication skills.
Demonstrated organizational skills.
Good clerical skills.
Sound judgment in handling confidential or sensitive issues and material.
Data entry.
Filing, compiling and assembling documents.
Ability to multi-task.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
Frequent standing, walking, sitting, twisting, reaching, handling, fingering, feeling, talking and hearing.
Frequent depth perception, near, midrange and far vision.
Occasional lifting 0-25 lbs.
Occasional lifting, pushing, pulling, carrying, climbing, balancing, stooping, kneeling, crouching and squatting.
