Job Overview
Saginaw Charter Township, a municipality of approximately 42,000, is seeking a full-time employee to fill the position of Special Events Coordinator. Saginaw Charter Township is the hub of Saginaw County, and an integral member of the Great Lakes Bay Region. Saginaw Township’s recreation department is the largest and most comprehensive parks and recreation program in Saginaw County, and is composed of 17 parks and the Center Courts fieldhouse.
The Recreation Administrative Associate will work under the Parks and Recreation Director and will be responsible for greeting and assisting citizens, answering and directing phone calls to appropriate personnel, and aiding with daily accounting, filing of records, and meeting scheduling and preparation.
Duties
1. Answers and screens telephone calls, directs calls to proper department personnel when appropriate, and answers general/routine questions regarding facilities, programs, and procedures.
2. Types and mails program announcements, schedules, flyers, letters and other correspondence.
3. Greets the public and handles recreation and fitness program registrations at counter.
4. Assists with daily accounting. Assists with pursuing the collection of delinquent fees, rosters, and hold harmless agreements.
5. Compiles and files reports, league standings and other program statistical information as directed.
6. Schedules appointments and meetings, and prepares itineraries and agendas. Prepares schedules for programs and works with other staff on distribution.
7. Provides the department with clerical support for meetings, community events and programs. Drafts and types letters, minutes, memoranda and other correspondence.
8. Opens and distributes incoming mail. Processes outgoing mail. Compiles and updates mailing lists.
9. Handles other assorted general typing and filing assignments.
Skills
- High school diploma and two years of receptionist or general office work in a front office setting.
- Knowledge of general municipal services, including a background dealing with the public.
- Skill in the use of office equipment and technology, including Outlook and Microsoft Office, as well as the ability to learn knew technology as needed.
- Skill in establishing and maintaining effective working relationships with other employees and the general public.
- Ability to type with speed and accuracy.
- Ability to gather data and prepare accurate and timely records, reports, notices, memos, and letters.
- Ability to critically assess situations, solve problems, and work effectively under stress and changes in work priorities.
- Ability to communicate effectively.
