What are the responsibilities and job description for the Administrative Assistant to the District Superintendent and Recording Secretary to the Board of E position at Covert Public Schools?
Reporting to the district superintendent, the Administrative Assistant works in a confidential manner while assisting with accounts payable tasks, creating boarddocs for BOE meetings, assisting with planning school events, and other duties as assigned. MINIMUM QUALIFICATIONS:
- Associate’s degree with an emphasis in English, communications, or business administration
- Three years experience working in a busy office
- Ability to interact effectively with staff, BOE members, and community members.
- Ability to juggle multiple tasks at once, such as answering phones, data entry,
- Ability to work flexible hours.
PREFERRED QUALIFICATIONS:
- Bachelor’s degree with an emphasis in English, communications, public relations, community education, or business administration
- Three years experience working in an office environment at a public K-12 school
- Bi-lingual (English/Spanish)
RESPONSIBILITIES
- Prepares and handles confidential matter/information as it pertains to the Office of the Superintendent.
- Receives, screens, and directs phone calls, mail, and visitors.
- Prepares correspondence for the Superintendent.
- Researches and assists the Superintendent with project, reports, and preparation of information.
- Orders office supplies.
- Adheres to District policies and procedures.
- Prepares BOE meeting packets, including meeting agenda.
- Attends monthly BOE meetings.
- Records BOE meetings with district equipment
- Posts announcements of regular and special meetings of the BOE.
- Maintains BOE documents as required by law.
- Secures and facilitates the distribution of information between the superintendent and the BOE members.
- Reviews staff submitted purchase orders for the superintendent to approve.
- Data entry for Accounts Payable.
- Prints Accounts Payable checks and distributes.
- Submits state and federal information as requested and in a timely manner.
- Performs all other duties as assigned.
ADDITIONAL WORKING CONDITIONS:
The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the District.
