Reports To: Academic Outreach and Mulvane Site Coordinator
Job Summary:
The Office Assistant is responsible for performing several administrative duties for the Mulvane Campus and to provide support to students, staff, and instructors. This is a part-time 11-month position with one month off for the summer (mid-June to mid-July) with a typical work schedule Monday-Thursday 5:00 pm to 10:00 pm.
Position Duties:
- Perform several secretarial duties such as answering the telephone; taking and transmitting messages; preparing, copying, and printing documents and materials; handling online and traditional correspondence; greeting and attending to visitors.
- Establish and maintain collaborating relationships with academic staff and students.
- Refer student questions and concerns to the proper office or staff.
- Distribute inner-office mail to/from department faculty for Interactive Distance Learning classes
- Assist with making copies, faxing, and scanning.
- Assure buildings and classrooms are secured and locked up for the night.
- Assist with maintaining office supplies.
- Assist with organization and set up for events.
- Report any facility or maintenance issues to the Academic Outreach and Mulvane Coordinator Maintain courteous, professional, and effective working relationships with employees, vendors and/or any other representatives of external organizations.
- Comply with all College policies and procedures
- Assist the Academic Outreach and Mulvane Site Coordinator by performing other related duties as assigned.
Required Knowledge and Skills:
- Efficient time management skills.
- Ability to work independently, as well as on a team.
- Ability to work and maintain the highest level of confidentiality.
- Good communication skills, both written and oral. Good telephone communication skills.
- Demonstrate computer skills, including but not limited to; Word, PowerPoint, and Excel
- Knowledge of general office procedures.
- Ability to organize and prioritize work. Work well under deadline pressures.
- Excellent human relations skills. Ability to work with individuals from a variety of backgrounds and diverse populations.
- Understanding of and commitment to quality improvement.
Required Education Background:
- High School Diploma or equivalent, required. An Associate’s Degree, is preferred.
Required Experience:
- Minimum of one year of customer service experience. Coursework in-office procedures and computer software may replace experience.
Supervisory Requirements: None.
Physical Requirements:
Ability to sit or stand for extended periods; ability to move freely around the campus and outreach centers; ability to lift to 20 pounds; ability to bend, stoop, reach, and grasp as required to perform responsibilities; ability to drive a motor vehicle; and ability to work on the computer for long periods.
Work Environment:
Work performed in an office environment and throughout both Mulvane Center buildings.
