We have an immediate need for a dependable, resourceful, and detail-oriented individual to join our team as a Procedure Scheduler in Colorado Springs, CO. The Procedure Scheduler is an essential link in maintaining efficient, high-performing schedules that directly support the care and development of our patients. This role is incredibly fast-paced and is ideal for someone with a strong ability to prioritize, organize, and adapt.

Responsibilities
- Proactively manage surgery schedules and notification(s) to all parties involved in the case.
- Verify insurance information is correct and ensure authorizations are current.
- Verify all orders have been received from clinic and initiate the process of obtaining clearance, if needed.
- Monitor and adjust schedules to maximize service and availability and ensure seamless continuity of care.
- Respond to cancellations and no-shows quickly and efficiently, filling open slots. Maintain a shared log showing any cancellations.
- Maintain a shared tracker so that everyone knows where the case is in the scheduling process.
- Coordinate and confirm schedules through phone calls, email, or other electronic communication. Provide pre-procedure/ Pre-OP instructions to the patient.
- Maintain accurate and up-to-date patient records in electronic medical record systems (EMR).
- Answer phone calls, respond to inquiries, and provide exceptional customer service.
- Assist with administrative tasks such as filing, data entry, and scanning documents.
- Collaborate with administrator, clinical director, healthcare providers and staff to ensure efficient patient flow.
- Ensure all patient interactions and record-keeping adhere to confidentiality and healthcare compliance guidelines, supporting Ascent Surgery Center’s commitment to ethical and patient-centered care.
- High school education required; Medical Assistant certificate preferred.
- Previous experience in a healthcare role focusing on patient care and scheduling.
- Strong administrative skills with attention to detail and accuracy.
- Excellent communication skills, both verbal and written.Proficient in using computer systems and EMR software (e.g., Amkai, ScanChart, eClinicalWorks, Excel)
