Position Overview:

We are seeking a detail-oriented and proactive Operations & Project Coordinator Analyst to join our team. This role will be responsible for managing day-to-day operational functions, financial processes, and administrative coordination to ensure efficiency across the organization. The ideal candidate will be highly organized, tech-savvy, and capable of handling multiple responsibilities, from financial oversight to HR support and IT coordination.


Key Responsibilities:


Finance & Accounting Support

  • Manage all invoicing, accounts receivable, and accounts payable processes.
  • Process semi-monthly and monthly payrolls accurately and on time.
  • Support monthly bookkeeping and ensure timely reconciliations.
  • Conduct corporate financial audits and submit account reconciliations for P&L and balance sheets.
  • Produce and analyze monthly utilization & profit margin reports for leadership.

Human Resources & Compliance

  • Onboard new hires and ensure a smooth transition into the company.
  • Administer benefits and track eligibility, employee reviews, and time-off policies (floating holidays, birthday holidays, etc.).
  • Ensure compliance with state and federal labor regulations across multiple states.
  • Assist in insurance renewals and manage company-wide benefits programs.
  • Draft, update, and implement company policies and procedures to maintain compliance and operational efficiency.


Qualifications & Skills:

  • Bachelor's degree in Business Administration, Finance, Accounting, HR, or a related field preferred.
  • 5 years of experience in operations, accounting, project coordination, or HR administration.
  • Strong knowledge of financial reporting, payroll processing, and bookkeeping.
  • Experience managing state compliance requirements and benefits administration.
  • Experience with AEC Industry
  • Construction Management Experience
  • Experience with Public Sector/Municipalities
  • Proficiency in Microsoft Office Suite, QuickBooks, WordPress, and project management tools.
  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Strong problem-solving skills and ability to work independently.

Salary : $80,000 - $120,000
