OVERVIEW

Are you a proactive and strategic thinker with a passion for information management? We are seeking a dynamic Records Lifecycle Specialist to lead our comprehensive records information management program. In this role, you will drive development, implementation, and maintenance of innovative records management practices, all while ensuring the integrity and accessibility of our valuable records.

RESPONSIBILITIES

  • Innovate and Manage : Spearheads the development and execution of our active and inactive records management program.
  • Vendor Relations : Oversees and optimizes contracts with external vendors for storage and shredding services, ensuring cost-effective and compliant solutions.
  • Strategic Planning : Contributes to the creation of robust business continuity and disaster recovery plans to safeguard our records against unforeseen events.
  • Insightful Reporting : Generates statistical, statuses, and analytical reports to inform decision-making and drive improvements.
  • Records Lifecycle : Coordinates the annual destruction of records.
  • Matter Close Collaboration : Takes ownership of the Matter Close Checklist, working closely with attorneys to accurately identify records as matters conclude.
  • Effective Training : Provides training to incoming legal and administrative staff on their records management responsibilities.
  • Audit and Compliance : Partners with the Information Governance Data Specialist to audit and validate data, ensuring accurate and compliant record-keeping.
  • Litigation Holds Management : Administers and oversees litigation holds on official records, managing the post-litigation holds processes to maintain integrity.

QUALIFICATIONS

  • Bachelor's degree in Information Management, Library Science, or related field; advanced degree or professional certifications (e.g., IGP, CIP, CRM, CIPP) are highly desirable;
  • Minimum 5 - 7 years of closely related experience with development of a records management program, including at least 2 - 3 years of supervisory or lead experience. Alternatively, a combination of education and experience that demonstrates equivalent expertise;
  • Deep knowledge of records management operations, practices, policies, and procedures, with a knack for applying these principles effectively;
  • Utilize logic and reasoning to navigate complex situations, evaluate solutions, and implement practical approaches;
  • Proven ability to develop, document and, implement procedures that reinforce records management policies and guidelines;
  • Strong project management skills, with a track record of leading cross-functional teams and delivering initiatives on time;
  • Exceptional communication and interpersonal skills, adept at collaborating with legal professionals and stakeholders at all levels;
  • Thrive in a fast-paced environment, adept at managing multiple tasks simultaneously while maintaining a high level of detail;
  • Work effectively both independently and as part of a team, fostering a collaborative work environment; and
  • Ability to work additional hours to meet project deadlines and organizational needs.
  • This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The estimated salary range for this position is $100,000 to $130,000. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. In addition to base salary and discretionary bonus(es), we offer a generous employee benefits package including, but not limited to, paid time off, medical, dental, vision care, 401(k) and substantial health club discounts.

    Salary : $100,000 - $130,000
