Job Title: Office Assistant (Temporary to Permanent)
Department: Outpatient Mental Health Clinic (OMHC), Psychiatric Rehabilitation Program (PRP), Substance Use Outpatient Program (SUD)
Reports to: Operations Manager & CEO
Summary: This position offers a temporary-to-permanent opportunity. The successful candidate will serve as an assistant across all programs (OMHC, PRP, SUD), with responsibilities that include, conducting quality assurance, facilitating outreach, assisting with daily groups, and promoting client re-engagement for the organization. This is a part-time position requiring approximately 20 hours of work per week, with a schedule from 2 PM to 6 PM daily.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serves as an assistant to the OMHC, PRP, and SUD programs, where you are expected to answer the phone, greet clients, and serve clients snacks/drinks.
- Make copies and refill all necessary forms that are running out in the office (where charts are located-intakes, referrals)
- Check all company voicemails, return calls, and relay messages to required parties
- Assist with all office work as needed
- Assist in performing audits in all four areas using the appropriate audit tools at the frequency of quarterly and/or as needed.
- Responsible for keeping up to date with new and evolving COMAR regulations
- Participates in staff and management meetings
- Investigating customer complaints
- Outreach and Re-engagement Liaison obtaining at least two new OMHC clients per week
- Perform outreach calls (psychiatric centers, schools, community centers, inpatient hospitals, substance use programs, elementary, middle, high schools, after school programs) on a weekly basis to introduce the organization and obtain new client’s referrals.
- Performing calls to clients that need to be re-engaged to prevent client discharge
- Other duties may be assigned
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. ➢ High School Diploma/GED required, Associates degree in a health-related field preferred ➢ 2 years of work experience in a community-based mental health setting or its equivalent ➢ Familiarity with COMAR regulations
LANGUAGE SKILLS: Excellent interpersonal skills with the ability to effectively communicate with individuals (clients and staff) of all ages, cultural backgrounds, educational and work experience.
REASONING ABILITY: Must have the ability to strategically, logically, and realistically analyze, evaluate, and develop solutions. Must be able to consider all affected areas when determining solutions to issues that will be most beneficial to the client.
CERTIFICATES LICENSES REGISTRATIONS: CPR and First-Aid (If an employee does not have this requirement, they are responsible for obtaining it within 3 months and providing proof)
