Position Overview:
As the Administrative Assistant / Receptionist, you will be the first point of contact for clients, embodying our values of professionalism and warmth. You will provide comprehensive administrative support to all levels of team members in a fast-paced environment, where you will also find opportunities for professional development and growth.
Key Responsibilities:
- Answer incoming phone calls and direct them to the appropriate team members.
- Open new case files and ensure all necessary information is accurately documented.
- Enter case updates, new information, and contacts into our database.
- Manage various case-related tasks as assigned.
- Compose and edit letters and other correspondence, ensuring clarity and professionalism.
- Copy, scan, and send ingoing and outgoing correspondence.
- Distribute emails, faxes, and mail in a timely manner.
- Maintain an organized filing system for easy access to documents and records.
- Support team members with additional administrative tasks as required.
Qualifications:
- Proven experience in an administrative or receptionist role, preferably in a professional setting
- Professional and welcoming phone manner
- Exceptional typing skills
- Excellent written/verbal communication and interpersonal skills
- Strong organizational abilities and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
- Ability to prioritize and complete multiple projects in a fast-paced environment
- Able to work independently and as part of a team
- A positive attitude and a commitment to providing exceptional service
- Fluency in Spanish - written and spoken a plus
