Position Overview:  

As the Administrative Assistant / Receptionist, you will be the first point of contact for clients, embodying our values of professionalism and warmth. You will provide comprehensive administrative support to all levels of team members in a fast-paced environment, where you will also find opportunities for professional development and growth.


Key Responsibilities:

  • Answer incoming phone calls and direct them to the appropriate team members.
  • Open new case files and ensure all necessary information is accurately documented.
  • Enter case updates, new information, and contacts into our database.
  • Manage various case-related tasks as assigned.
  • Compose and edit letters and other correspondence, ensuring clarity and professionalism.
  • Copy, scan, and send ingoing and outgoing correspondence.
  • Distribute emails, faxes, and mail in a timely manner.
  • Maintain an organized filing system for easy access to documents and records.
  • Support team members with additional administrative tasks as required.


Qualifications:

  • Proven experience in an administrative or receptionist role, preferably in a professional setting
  • Professional and welcoming phone manner
  • Exceptional typing skills
  • Excellent written/verbal communication and interpersonal skills
  • Strong organizational abilities and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
  • Ability to prioritize and complete multiple projects in a fast-paced environment
  • Able to work independently and as part of a team
  • A positive attitude and a commitment to providing exceptional service
  • Fluency in Spanish - written and spoken a plus
