Purpose
The Dental Office Manager acts as an advocate for the practice, ensuring smooth operations and delivering exceptional patient experiences. They manage the business aspects of the practice, oversee team members, enforce office policies, and maintain a positive, productive environment.
Key Responsibilities
Daily Operations & Patient Care
- Ensure all staff perform their daily duties effectively.
- Monitor and maintain patient flow throughout the day.
- Respond to daily patient reviews within 24 hours.
- Address patient concerns/complaints and provide resolution within 48 hours.
- Oversee insurance grievances and letters, resolving them within 24-48 hours.
- Confirm all lab cases are ready for the following day and all cases are submitted on time.
Scheduling & Patient Follow-Up
- Regularly review and optimize the schedule for doctors and hygienists to meet production goals.
- Monitor practice performance metrics (via Practice by Numbers) and schedule appointments accordingly.
- Follow up on patients with presented treatment plans, missed leads/calls, and incomplete treatment acceptance.
Team Leadership & Management
- Lead by example, fostering a positive and motivated team culture.
- Conduct team meetings and training sessions to enhance skills and morale.
- Create accountability and enforce office policies, updating handbooks as needed.
- Maintain accurate HR records and facilitate a growth-oriented work environment.
Performance & Reporting
- Run and review practice reports daily, focusing on KPIs and benchmarks.
- Evaluate processes and patient experiences to prioritize improvements.
- Provide weekly updates on incomplete claims, ensuring proper documentation and follow-up.
