Administrative Specialist – Job Description
An Administrative Specialist shall support the field and design staff of Creek Engineering with authoring of timely reports, compiling data for inbound and outbound projects, contacting clients, handling documentation, and couriering drawings. Furthermore, the Administrative Specialist shall handle complex or atypical situations involving client engagement, scheduling, or field coordination. Additionally, the Administrative Specialist will be responsible for supporting and shall report to the Operations Manager.
To be successful in this position, candidates should possess keen visual and mental assessment skills, and have a habit of adhering to technical parameters and accurate typing. You should also have excellent communication skills, be comfortable speaking extemporaneously, as well as be able to type with a high degree of accuracy. You should anticipate that this role will require you to handle complex situations, solve problems independently, exhibit high level adaptability, and develop proficiencies in programs and processes that may be foreign to you.
Responsibilities Include (but are not limited to):
· Provides administrative support to ensure efficient office workflows.
· Maintains physical and digital filing systems.
· Compiles, reports on, and productively works utilizing inbound and outbound field and design data.
· Responds to emails and other digital queries and correspondence.
· Drafts, edits, and executes letters, reports, and other legal documents.
· Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
· Inputs and updates information in databases and spreadsheets.
· Prepares meeting agendas and takes meeting minutes.
· Coordinates logistics for meetings.
· Uses word processing software to create and edit documents.
· Operates and maintains office equipment.
· Works with maintenance staff and outside vendors to ensure office equipment is in good working order.
· Researches, compiles, and summarizes information for reports or presentations as requested.
· Works closely with other staff and supports other colleagues.
· Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
· Ensures that deadlines are met and adapts to changing priorities.
· Presents a positive and professional image for the organization.
· Possesses digital literacy and research skills, including the ability to analyze the reliability of information.
Requirements
· Driver’s License
· High School Diploma
· 2 years of work experience as a member of support staff or another administrative role.
· Familiarity with standard office platforms, such as Microsoft Office and QuickBooks
· Ability to follow safety rules and guidelines.
· Good communication skills.
· Excellent detail-oriented and hardworking individual.
· Eagerness to work flexible part-time hours.
· Good time management skills.
· Ability to lift heavy objects up to 30 lbs.
· Ability to twist, pull, push, and stand for lengths of time.
· Unafraid of geeks, computers, comic book trivia, gamers, history debates, one-liners, dad jokes, or other generally awesome folks.
