Our HVAC Scheduler/Dispatch Coordinator – National Accounts will be the operational backbone of each national team pod, ensuring work orders are scheduled and dispatched efficiently, customer communication is handled promptly, and all service records are accurately maintained. Reporting to the Sr. Program Manager, this role will help drive operational excellence across accounts representing up to $20M in annual volume.
Key Deliverables
- Efficient scheduling and dispatch of all work orders
- Clear and timely communication with partners, vendors, and customers
- Accurate recordkeeping and status reporting in scheduling and work order systems
Position Responsibilities
- Schedule service calls, repairs, PMs, and projects across multiple accounts and geographies
- Coordinate technician assignments and dispatch partners while monitoring progress
- Maintain communication with customers and internal teams regarding service status and delays
- Track and report job completion timelines, escalations, and follow-up items
- Ensure all scheduling data is accurately entered and maintained in the system of record (e.g. Fexa, Spectrum)
- Assist in vendor engagement and documentation to support timely execution
- Monitor SLAs and alert team leads when deadlines or compliance issues arise
- Provide administrative support to the project team including purchase orders, invoicing support, and documentation requests
Position Requirements
- 3 years of experience in a dispatching, scheduling, or coordination role in a commercial services environment
- Familiarity with MEP, HVAC, or facilities services is preferred
- Strong organizational skills with the ability to manage competing priorities
- Proficiency with scheduling or field service management software (e.g. Fexa, ServiceTitan, Corrigo)
- Excellent written and verbal communication skills
- Detail-oriented, proactive, and dependable
- Comfortable working in a high-volume, fast-paced environment
