As part of our commitment to operational excellence, we are seeking an experienced and resourceful Executive Assistant to support our Managing Partner and one other leadership member. This role is critical in ensuring seamless coordination of daily operations, enhancing executive productivity, and contributing to the firm's ongoing success.
What you'll do :
Calendar Management : Oversee and maintain schedules for the Managing Partner, ensuring appointments, meetings, and travel are coordinated efficiently. Proactively address scheduling conflicts.Travel Coordination : Organize travel arrangements, including flights, accommodations, and itineraries, while remaining responsive to last-minute changes.Communication Management : Serve as a primary point of contact, filtering communications and determining priorities. Prepare briefings and manage meeting requests.Project Support : Assist with various projects, such as researching potential office expansion locations or preparing presentations, ensuring timely and thorough completion of deliverables.Technology Assistance : Troubleshoot basic technical issues and optimize tools and systems to enhance productivity.Administrative Process Improvement : Identify opportunities to improve administrative efficiency.Collaboration : Work with internal teams and external partners to facilitate seamless communication and project execution.What we're looking for :
Experience : At least 3 consecutive years of experience as an Executive Assistant, preferably supporting senior executives in a professional services setting. Proven ability to manage complex responsibilities with minimal oversight.Skills : Exceptional organizational and time-management skills. Proficiency in calendar management tools, travel booking platforms, and Microsoft Office Suite. Strong verbal and written communication skills.Attributes : Resourceful and self-motivated, with a high degree of initiative. Tech-savvy and comfortable troubleshooting software and hardware issues. Calm under pressure and adept at managing competing priorities.Cultural Fit : Align with the firm's values of innovation, integrity, and excellence. Demonstrate empathy, collaboration, and professionalism in all interactions.Flexibility : This role requires flexibility, as the demands of the position may vary from week to week.
