Who We Are
Cristo Rey Orlando High School is located in Orlando, FL, and will be part of the national Cristo Rey Network. The school will open its doors to its inaugural freshmen class in the fall of 2025. Like all Cristo Rey schools, it will be a Catholic, college preparatory high school for students of all faiths from families of limited financial means. The school will be co-educational and will serve students of diverse backgrounds. We will help our students grow intellectually, academically, emotionally, spiritually, socially, and morally. Our aspiration is that all our students graduate from high school and college and become the future leaders in our churches, institutions, businesses, nonprofits, and the community at large.

This Role
The Executive Assistant to the Founding President and Vice President of Advancement is a dynamic and essential role, providing comprehensive administrative support to both leaders of Cristo Rey Orlando High School. This position requires a proactive, detail-oriented, and highly organized professional who thrives in a fast-paced, collaborative environment and can anticipate needs, maintain confidentiality, and execute tasks with precision. The ideal candidate will be self-sufficient, adaptable, and excited to manage multiple priorities, drive the daily flow of operations, and contribute to the seamless and strategic functioning of both the President’s and VP of Advancement’s offices.
Responsibilities include:
Calendar Management: Take full ownership of scheduling and managing the calendars of both the President and VP of Advancement. Proactively coordinate meetings, anticipate conflicts, and ensure that time is utilized efficiently. Be the gatekeeper, ensuring that all appointments and meetings align with their priorities. Prepare and distribute schedules ahead of time to maximize their productivity.
Meeting Preparation & Support: Lead the preparation and organization of materials, documents, and resources for meetings. Set up meetings, including technology and hospitality needs. Record, transcribe, and distribute meeting minutes or find technological methods for such. Track follow-up tasks, set deadlines, and independently coordinate necessary actions with stakeholders to ensure progress.
Guest & Hospitality Coordination: Take the lead in planning and coordinating all guest-related needs in advance. Ensure that hospitality arrangements, such as gifts, sympathy cards, and meal accommodation, are thoughtfully prepared before the day of the event. Proactively accommodate any dietary needs or special requests, and notify the appropriate individuals of guest arrivals, ensuring a seamless and welcoming experience for all.
Document & Records Management: Draft, edit, and proofread correspondence, reports, and presentations. Maintain and organize physical and digital files, ensuring efficient filing systems and compliance with organizational requirements. Handle sensitive and confidential information with discretion and professionalism.
Donor Data & Acknowledgment: Enter donor data and gifts into the fundraising database, accurately record checks, and generate timely acknowledgment letters and thank-you notes to donors. Ensure donor records are maintained with accuracy and confidentiality.
Prospect Research: Conduct research to compile donor and corporate partner profiles, providing valuable insights that will support relationship-building and strategic planning.
Communication & Liaison: Serve as the primary liaison for communication on behalf of the President and VP of Advancement. Prioritize, screen, and manage correspondence, ensuring that responses are timely and align with leadership priorities.
Travel & Logistical Support: Coordinate travel arrangements, including flights, accommodations, and transportation. Ensure timely procurement of office supplies and resources to support daily operations.
Project & Event Support: Lead and support special projects and events, ensuring that all components are organized and executed seamlessly. Manage timelines, track progress, and keep key stakeholders informed to ensure smooth operations.
General Administrative Duties: Maintain organized workspaces for both the President and VP of Advancement, provide reminders for tasks and appointments, conduct research for presentations, and handle additional administrative tasks as assigned.
Hiring & Recruitment Support: Assist with hiring processes by screening applications and coordinating interviews.
Other duties as assigned.

Minimum Qualifications
● A proactive, mission-driven approach to assessing situations, solving problems, and anticipating challenges, with the ability to make decisions aligned with the organization’s values.
● Three – five years’ proven experience as an executive assistant, chief of staff, or other relevant administrative support experience
● In-depth understanding of MS Office suite and Google Workspace
● A proactive approach to assessing situations and solving problems, with strong decision-making skills and the ability to anticipate challenges.
● Professional verbal and written communication skills, with the ability to maintain a respectful and professional demeanor in all interactions.
● Experience with fundraising or sales CRMs (e.g., Raiser’s Edge, Salesforce, or similar donor databases)
● Donor Relations and / or gift operations experience: Understanding of donor stewardship, gift processing, and fundraising best practices.
● Strong project management, time management, and organizational skills.
● Ability to multitask, prioritize tasks, and meet deadlines

Physical Requirements:
Ability to sit, stand, and move around as needed during the workday.
Capable of lifting up to 15 pounds occasionally for handling documents or office supplies.
