Receptionist/Bilingual Clerk

POSITION SUMMARY:
The Receptionist/Bilingual Clerk plays a critical role in creating a positive, professional, organized, and welcoming environment at Cristo Rey San José Jesuit High School. As the first point of contact for students, parents/guardians, and visitors, this role ensures smooth operations at the front desk, answers phones, and provides essential information. The position also supports the Academic Leadership Team (ALT) by managing attendance records, assisting with student needs, and providing administrative help to school leadership. Fluency in both Spanish and English is essential for effective translation and communication with the diverse school community.

ESSENTIAL DUTIES:

Front Desk
  • As the first face of the school, welcome students, parents/guardians, and guests, monitor the front door and answer telephones and provide routine information.
  • Acts as Receptionist/Bilingual Clerk for the Main Office and the common area outside the offices of the Academic Leadership Team.
  • Administer basic first aid to students in need.
  • Must be able to speak and write fluently in Spanish in order to translate for faculty and staff as needed - may include documents and special events.

Attendance
  • Manage attendance including working directly with students (e.g. assigning late slips and distributing detention notices), parents/guardians (e.g. completing absentee phone calls and other communication needs) and the academic leadership team (e.g. maintaining attendance records, ensuring accurate record keeping in Powerschool as well as generating attendance reports).
  • Communicate to and collaborate with various internal stakeholders including teachers, academic counseling, personal counseling, admissions and CWSP.

Support Academic Leadership Team (ALT)
  • Provide administrative support as needed to the Principal, Assistant Principal, Dean of Student Culture and Director of Student Activities. Support may include assisting with event planning, scheduling appointments, communicating with internal and external stakeholders, supervising students and other duties as assigned.
  • Supervise office aids/students workers.
  • Serve as a liaison between the ALT and parents/guardians, as needed.

QUALIFICATIONS:
  • Required:
  • Fluency in written and spoken Spanish
  • High School Diploma
  • Proficiency and comfort with using technology
  • Preferred:
  • Associate’s Degree or Bachelor’s Degree
  • Experience in a similar role of office manager, Receptionist/Bilingual Clerk, or secretary
  • Experience working in schools

  • Multitasking & Prioritization: Exceptional ability to handle multiple responsibilities, such as managing phone calls, attendance duties, and student needs, while remaining organized and calm under pressure.
  • Attention to Detail: Diligent in managing attendance records, distributing detention notices, and inputting data into systems like PowerSchool. Accuracy is crucial when managing sensitive student information.
  • Discretion & Confidentiality: Trusted with sensitive student and family information, maintaining strict confidentiality while handling disciplinary records, health information, and attendance matters.
  • Problem-Solving & Resourcefulness: Proactively addresses issues and helps resolve minor student problems with a solution-oriented approach.
  • Collaborative Team Member: Works closely with the Dean of Student Culture, faculty, staff, and families to ensure effective communication and coordination regarding attendance, student discipline, and school policies.
  • Time Management & Flexibility: Efficient in managing time and adjusting to changing priorities, whether it’s overseeing lunch detention, assisting the Dean, or responding to unexpected requests during the school day.

SALARY
  • This is a non-exempt position. Pay at an hourly rate between $22 and $26 an hour based on previous experience and education.
  • Employees work year round except for school holidays, from 7:30 - 4:30 with an hour lunch.
  • Full time employees are eligible for the following benefits: medical, dental, vision, and retirement.
  • Employees’ premiums are covered for medical, dental and vision at 100% and dependents at 50% if elected. This position is eligible for enrollment in the group voluntary retirement plan – 403b. CRSJ will match contributions up to 3% from the employee into the 403(b) plan.
