Construction Project Coordination Specialist

About the Role

We are seeking an experienced Project Coordinator to join our team at Cross Environmental Services Inc. The ideal candidate will have excellent organizational skills, be able to work independently, and have a strong attention to detail.

The successful candidate will be responsible for coordinating with our project managers, preparing proposals, and managing paperwork.

Responsibilities

• Collaborate with Project Managers on proposal preparation and issuance of proposal numbers
• Work with the team to prepare proposal files, ensuring all relevant documents are included
• Upon proposal acceptance, complete a Job Order Form and submit the Project Manager's budget sheet to accounting
• Identify specific job needs, including reviewing purchase orders or contract terms, issuing insurance certificates, W9s, and bonds as applicable, and reviewing and accepting scope of work by the Project Manager
• Coordinate with the Health & Safety director on project plans
• Collaborate with operations to confirm scheduling, permits, and disconnects are completed within project time constraints
• Ensure timely submission of schedule of values and billing instructions by the Project Manager to accounting
• Coordinate with operations and the team to ensure job books are complete and Post Jobs are submitted
• Knowledge and understanding of client and customer needs, including project requirements, scope, and objectives
• Coordinate with personnel for projects involving bid packages and bid bonds, including calendaring and meeting deadlines
• Supervise current projects and coordinate team members to maintain administrative workflow
• Verify that proposal and project-related paperwork is up-to-date, properly filed, and stored

Requirements

• Highly organized with excellent time management skills
• Proficiency in MS Word, Outlook, Teams, and Excel
• Prior experience in a professional setting is desirable
