JOB DESCRIPTION
POSITION TITLE : Insurance Operations Assistant / Front Desk Reception
POSITION SUMMARY :
Operations Clerk to provide assistance and administrative support. Applicant must be able to complete routine office tasks with strong organizational skills, attention to detail, and quality customer service.
REPRESENTATIVE DUTIES AND RESPONSIBILITIES INCLUDING BUT NOT LIMITED TO :
1. Greets clients, company personnel, and visitors, directing them to the appropriate party & maintains visitor log book.
2. Answers phones and directs incoming calls.
3. Responsible for copying functions and communicating copier maintenance requests.
4. Picks up and opens all incoming mail and serves as back up for handling outgoing mail processing. Manages Business reply account at post office.
5. Purchases and inventories all agency supplies & reconciles WB Mason invoices.
6. Prepare various envelopes, mailing labels, and forms and prepare and coordinates fed ex mailings.
7. Creates & distributes coverag checklist letters.
8. Distributes all material as per instructions of requester.
9. Secures front entrance at the close of the business day.
10. Provides assistance to commercial and personal lines departments
for various insurance processing tasks.
11. Performs other functions as assigned by management.
KNOWLEDGE, SKILLS AND ABILITIES
1. Must be organized, with demonstrated skills for effective verbal and written communication. Should become familiar with business operations at the corporate level and should develop a good understanding of the agency management system.
2. Ability to use computer, calculator, agency automation system, and proficiency in various software programs, including but not limited to Microsoft Word and Excel.
3. Essential functions are outlined; other duties may be assigned as needs arise or as required to support the agency's essential functions.
WORKING CONDITIONS 40 hours per week
