Primary Function and Relationship to Total Organization:
The Office Coordinator's primary role is to facilitate the initial point of entry into Crossroad’s Behavioral Health Services, by assessing the visitor’s/client’s needs and determining the appropriate recommendation for clients and families. CBH’s Office Coordinator will staff the registration area to include receiving visitors and clients, ascertaining their needs and directing them accordingly. CBH’s Office Coordinator will perform related clerical duties, entering information into systems, collecting forms, and completing chart entries when necessary, collecting fees as appropriate and answering phones. CBH’s Office Coordinator will register and schedule new clients, complete face sheets and verify and update basic demographics and insurance changes. The Office Coordinator is responsible for timely and effective responses and follow-up to client's needs and to maintain CBH’s commitment to quality client care. The Office Coordinator performs a vital role in the operational and fiscal effectiveness of the CMHC. Good performance is highly dependent on gaining the cooperation of others. This position will facilitate and implement departmental and cross-departmental strategic projects and will strive to continuously improve and streamline processes.
- Responds to all telephone calls/requests for services in a timely fashion
- Greets client as they check in for their appointments
- Gather basic demographic information needed to schedule new clients
- Oversees waitlist for services and works to keep schedules full
- Verify and updating any changes in client information
- Supports and assists all locations and departments within Crossroads
- Gather insurance information, checks benefits and works with the billing department to inform patient of financial responsibility
- Completes all needed intake paperwork for new clients
- Manage multiple schedules
- Collect client fees and work to collect on any outstanding balances
- Obtains authorizations for services as needed
- Assist with finding solutions to barriers that clients are experiencing in terms of seeking treatment
- Screen clients and complete paperwork needed for multiple grants
- Obtains and releases medical records
- Completes activities related to the client engagement process
- Responsible for completeness, accuracy and timelines of required paperwork
- Maintains a current knowledge of the EHR system
- Must have excellent written and oral communication skills
- Have the ability to prioritize and handle a variety of tasks simultaneously
- Must be able to tolerate a high volume environment and crisis situations.
- Must have a high regard for confidentiality
Qualifications/Experience:
1 years of mental health experience preferred. Familiarity with the complexities of managed care, mental health services and benefit structure is preferred. Must be flexible and able to work independently as well as with a team. Must be able to tolerate a high volume environment and crisis situations and exercise sound judgement. Requires basic computer proficiency and detail orientation. Must have a high regard for confidentiality. Demonstrated strong organization, interpersonal and communication skills. Must have excellent written and oral communication skills and the ability to prioritize and handle a variety of tasks simultaneously.
