POSITION SUMMARY: This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Operations Software Specialist plans and executes the access, auditing and centralized input of all programs, association-wide. The position is also responsible for access and auditing various operations softwares for data integrity and coordinating any necessary operational changes as well as coordinating data fixes to rectify issues discovered in audits. The position will be responsible for ad-hoc reporting as requested by the CFO.
ESSENTIAL FUNCTIONS:
- Act as the data custodian for the organization, ensuring both data is as accurate and complete as possible with a large impact on a majority of the transactions of the organization.
- Act as the custodian for user access, for various systems within the organization.
- Act as auditor of various systems for accuracy of data and users within the organization.
- Develop and oversee the overall data gathering and entry strategy for software system.
- Identify opportunities and improve processes regarding program/schedule input and data integrity.
- Ensures proper operating policies, procedures and work instructions for data collection and data integrity are documented and in place, and provides training as needed.
- Research, test, implement changes and improvements to database to ensure it operates reliably.
- Establish and evaluate success and refine activities based on analytics. Plays an integral role in the planning and execution of any software implementation processes.
- Monitor and respond to support requests from users. Anticipates risk, implications, and possible outcomes before taking action.
- Act as an advocate for our operators to use existing technological resources and solutions to improve the operational efficiencies and enhance daily activities within the organization.
- Researches and identifies new technology trends that relate to the YMCA’s needs and makes recommendations. Fosters a climate of innovation to advance technology which supports the Y mission, goals, and strategies.
- Completes reports as requested and distributes them appropriately.
- Other duties as assigned by supervisor.
QUALIFICATIONS:
- Bachelor's degree in business administration, information technology or related field is preferred.
- Three or more years previous software entry level experience; understanding of technology needs and systems of YMCA.
- Excellent data entry skills with attention to detail and accuracy daily.
- Intermediate excel proficiency.
- Understands YMCA business operations, procedures and computer system capabilities.
- Ability to research and implement new technologies and solutions.
- Skills in problem analysis and problem resolution at both a strategic and functional level.
- Ability to communicate effectively, and to train and instruct users.

WORK ENVIRONMENT & PHYSICAL DEMANDS:
- Visual, auditory, and verbal ability to communicate effectively.
- Ability to lift 20 lbs. and stand, walk, or sit for extended periods of time; occasionally stoop/bend.
- Sedentary work environment with extended periods of computer use, requiring strong attention to detail and focus. Occasional movement and breaks from the desk may be necessary to promote ergonomic health.
