About the Role :

We are seeking a talented and highly motivated Executive Assistant. This EA will be aligned to three of our global Product & Engineering teams and capable of providing strategic and operational support to multiple corporate executives at the VP level and above. New York hybrid location is required.

What You'll Do :

Manage multiple projects simultaneously and ensure success by communicating deadlines Such projects may, including but not limited to : weekly status reports, leadership team agenda and facilitations, department meetings and events, change management projects, and cross functional assignment particularly with Talent Acquisition and Human Resources.

Provides strategic , administrative, and operational support to three (3) corporate executives at VP and above.

Establishes high-level contacts of a sensitive nature inside and outside the company and maintains those relationships.

Assist tracking the budget for meetings, including following approval processes, room block management, activities, travel and logistics, catering, etc.

Proactively prioritize executive's time and commitments always one step ahead and making decisions for today that are based on the timeline of future events.

Manages heavy calendar (via Outlook) and meeting management responsibilities, to include worldwide travel planning and scheduling, as well as expense reconciliation, in a company experiencing rapid growth. Being able to manage requests that span multiple time zones.

Proactively addresses all aspects of travel such as security and threat levels, currency, weather, and destination culture advice to executives, to ensure effective use of time and resources to promote productivity.

Management of complex annual review and mid-year promotions cycles. May include schedule review sessions, communicated deadlines, and aiding in appropriate documentation.

Engagement is required with other senior leaders of the organization, which may include C-level and external executives.

What You'll Need :

Possesses professional expertise, applies company policies and procedures to resolve a variety of issues with a concentration on travel, employee recognition, and expense reports.

Change management driver who can look for opportunities and provide feedback on existing processes and procedures.

Exercises judgment within defined procedures , practices to determine appropriate action, and handling company proprietary information & practices.

Influences within the team and builds relationships outside of the immediate area to accomplish objectives.

Assist with project management requiring finesse, flexibility, and patience. Prioritize workflow and deliverables as objectives and business needs dictate.

Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality.

Executive interfacing skills, particularly in written and verbal communication ability to communicate clearly and concisely across all levels of the organization, with maximum attention to detail.

Booking and management of heavy domestic and international travel arrangements.

Previous experience with Outlook, Zoom, Google Drive Suite, and Slack are strongly preferred.

Bonus Points :

Previous experience with Workday, Expensify, Confluence, Navan, and Coupa.

Prior experience providing support to senior level management - or equivalent

Experience in a high-tech, startup, or a company experiencing rapid growth

Previous experience with Product or engineering team
