Cru Concrete is seeking a highly organized and versatile Administrative Assistant to support our office operations. The ideal candidate should be detail-oriented, proactive, and able to manage multiple tasks efficiently.
Responsibilities :
- Accounts Payable Invoice Entry : Accurately enter accounts payable invoices into the company’s financial system and ensure timely processing.
- Lien Waivers : Process lien waivers for various projects, ensuring all paperwork is completed and filed correctly.
- AR Payments : Apply incoming Accounts Receivable (AR) payments to the appropriate customer accounts and update records.
- Digitize Job Files : Capture and upload plan images to job files for easy access and long-term storage.
- Credit Card Transaction Allocation : Obtain receipts from all credit card users, verify expense types, and ensure they are categorized appropriately.
- Material Preparation : Prepare materials such as accounting reports, HR orientation documents, meeting agendas, and PowerPoint presentations for company communications, events, and meetings.
- Event Planning Assistance : Assist in organizing company events by handling RSVPs, setting up the venue, preparing handouts, communicating with vendors / venues, and ensuring event logistics are managed smoothly.
- Leadership Meeting Support : Take notes during leadership meetings, capture key points and action items, and distribute meeting minutes to attendees.
- General Office Errands : Perform errands such as handling mail, ordering and picking up meals for team events, and running other general errands as needed.
- Special Projects : Take on additional special projects and tasks as assigned by management.
