Cru Concrete seeks a highly organized and versatile Administrative Assistant to support our office operations. The ideal candidate should be detail-oriented, proactive, and able to manage multiple tasks efficiently.
Key Responsibilities:
- Accounts Payable Invoice Entry: Accurately enter accounts payable invoices into the company's financial system and ensure timely processing.
- Lien Waivers: Process lien waivers for various projects, ensuring all paperwork is completed and filed correctly.
- AR Payments: Apply incoming Accounts Receivable (AR) payments to the appropriate customer accounts and update records.
- Digitize Job Files: Capture and upload plan images to job files for easy access and long-term storage.
- Credit Card Transaction Allocation: Obtain receipts from all credit card users, verify expense types, and ensure they are categorized appropriately.
- Material Preparation: Prepare materials such as accounting reports, HR orientation documents, meeting agendas, and PowerPoint presentations for company communications, events, and meetings.
- Leadership Meeting Support: Take notes during leadership meetings, capture key points and action items, and distribute meeting minutes to attendees.
- General Office Errands: Perform errands such as handling mail, ordering and picking up meals for team events, and running other general errands as needed.
- Special Projects: Take on additional special projects and tasks as assigned by management.
Qualifications:
- Minimum of 1 year of experience in administrative support, accounts payable, or office management.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with financial systems or accounting software.
- Excellent organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Strong attention to detail and accuracy in all aspects of work.
- Ability to handle sensitive financial and confidential information with discretion.
