Event Coordinator

About Us:
Crush Yard is an energetic event venue combining pickleball, dining, and entertainment. We host a variety of events, from corporate gatherings to social celebrations, providing guests with a unique and memorable experience. We are seeking a detail-oriented and proactive Event Coordinator to help plan and execute events while delivering exceptional service.
Position Overview:
The Event Coordinator will oversee the planning, coordination, and execution of events once the client has been handed off by the Event Sales Director (ESD). This role will focus on smooth event logistics and operations, ensuring an outstanding experience for clients and their guests. For events with 15 or more attendees, the Event Coordinator will be onsite to assist the event lead and ensure everything runs smoothly. This position reports directly to the ESD.
Key Responsibilities:
Event Planning & Coordination
- Take over client communication after the handoff from the ESD, gathering final details and refining event plans.
- Coordinate all internal logistics, including space layout, food and beverage service, and AV needs.
- Use Tripleseat, Court Reserve, and Toast software to create proposals, refine contracts, and generate event orders.
- Develop detailed event timelines and communicate with internal teams (kitchen, AV, service staff, etc.).
Internal Team Coordination
- Work closely with internal teams to ensure all event aspects meet client expectations.
- Brief event staff on specific client needs to ensure smooth execution.
- Attend BEO (Banquet Event Order) meetings led by the ESD 1-2 times per week to review event details and ensure team alignment.
Event Execution
- Oversee the setup, execution, and breakdown of events.
- Act as the main onsite contact for events with 15 or more attendees, working alongside the event lead to ensure the event runs smoothly.
- Address any real-time issues that may arise, escalating major concerns to the ESD as needed.
- The ESD remains the primary client contact and is on call for any escalated needs or concerns.
Post-Event Follow-Up
- Manage post-event breakdown and cleanup.
- Provide post-event feedback to the ESD, including client and staff input.
- Assist with invoicing and any necessary follow-up tasks.
Requirements:
- Proven experience as an Event Coordinator, planner, or Manager, preferably in the hospitality or event industry.
- Familiarity with event software such as Tripleseat, Court Reserve, and Toast.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent communication and problem-solving abilities.
- Must be available for flexible work hours, including evenings and weekends, as required by event schedules.
- Strong attention to detail and a client-first mindset.
Additional Information:
- The Event Coordinator will not be responsible for scheduling event staff, as that is managed by other departments.
- Attendance at BEO meetings with the ESD 1-2 times per week is required to ensure smooth event planning and communication.
