About The Position
The Student Account Manager is responsible for managing and maintaining the integrity of the School’s student account receivables and collections efforts, while promoting and supporting a highly collaborative and engaged service-oriented culture. Must adhere to and maintain accuracy in reporting and compliance with federal and state regulations, including Title IV aid and refunding, IRS 1098T filings and the Fair Debt Collection Practices Act. Reporting directly to the Director of Finance, this position is responsible for the billing and collection of tuition-related charges, working with the Registrar, and will also work closely with the Director of Financial Aid in administering loan and scholarship payments and refunds. Under the management of the finance director, this position will also support the school process, reconciliation, reporting, and other internal finance duties related to external and student funding.

Major Responsibilities / Essential Functions Specific to The Position :
- Maintaining student accounting records in the system (SIS and Workday).
- Prepares and maintains all tuition / fee invoicing tables, assessment rules and billing modules in the Student Financial System for the calculation of student charges as mandated and in accordance with state and campus guidelines.
- Manage student billing and account administration.
- Requires knowledge of registrar / financial aid topics including cost of attendance, types of aid offered, payment options, financing options, billing, disbursement dates, withdrawal, and timelines / deadlines.
- Receive student payments.
- Post tuition, fees, supplies, etc. payments to student accounts
- Adjust charges and payments to student accounts.
- Investigating student account problems and resolving issues.
- Coordinating and report on accounts receivable during payment due dates, final registrations, administrative change dates
- Responsible for overseeing student delinquent accounts collections.
- Manages all student related third-party invoicing related to the collection processes.
- Help with the documentation and coordination of the refund process and ensuring student refunds are accurate, timely and in accordance with all local, state, and federal regulations.
- Support 1098-T reporting, third-party billing, reporting of exemptions and waivers, and other local, state, and federal reporting requirements.
- Work with the registrar’s office to complete the drop process for non-paid registered students.
- In conjunction with the Financial Aid Office, assure all disbursements of federal funds are in compliance with the US Department of Education Federal regulations.
- Assist with implementation of external grant funding module in financial system.
- Work with AWSOM team to develop external grant funding, tracking and reconciliation processes with Principal Investigator, external funding regulations whether federal, state, or private organizations.
- Partner with, and assist as needed, Director and AWE Finance to create financial reports and commentary.
- Coordinate / Partner with AWE accounting to ensure financial statement accuracy.
- Support departmental managers in the annual budgeting process as assigned.
- In conjunction with the Director of Finance, support the reconciliation of records with finance and financial aid offices to ensure complete agreement of billing, receipts, disbursements, and outstanding receivable records.
- Prepare as needed weekly, monthly, quarterly, and annual reports and analyses as requested or assigned.
